As an Operations Administrator, you will provide essential administrative and office‑based operational support to the TNC Europe team, ensuring the smooth day‑to‑day functioning of the London office and consistent administrative support to Europe‑based staff. The role focuses on coordination, implementation, and on‑site support, operating within established policies, procedures, and guidance. You will work closely with the Operations Manager, Europe Region, and other colleagues to support operational activities, maintain accurate records, and deliver reliable administrative services that enable teams to work effectively. Reporting to the Operations Manager, Europe Region, the position will be based in London, United Kingdom, and requires an on‑site presence in the London office at least three (3) days per week.
The Operations Administrator provides administrative, office coordination, and operational support services to the Europe-based staff. Based on site, the role acts as a local administrative point of contact for UK‑based staff, visitors, and service providers, supporting the practical running of the office in line with established processes and guidance. The Operations Administrator supports a range of routine and recurring administrative activities, including finance and procurement administration, information systems coordination, record‑keeping, and event support.
Responsibilities and Scope:- Carry out assigned administrative and office‑based tasks independently in line with clearly defined policies, procedures, and instructions, escalating complex, non‑routine, or high‑risk matters to the Operations Manager as appropriate.
- Support facilities and office services in London, including coordinating building access, office supplies, meeting room readiness, and vendor requests in line with agreed processes.
- Assist with routine logistics, procurement administration, and facilities coordination for London and, where needed, other Europe locations.
- Support onboarding activities for Europe-based staff by coordinating access, workspace readiness, organizing orientation sessions and preparing necessary materials under guidance from the Operations Manager.
- Implement and maintain accurate records of operational activities, including inventory control, filing systems (both physical and digital), to ensure easy access and retrieval of documents.
- Provide administrative support for internal meetings and events taking place in London including room setup, logistics coordination, and basic on‑site assistance.
- Perform finance‑related administrative tasks, including raising purchase requests, processing invoices, tracking expenses, and flagging discrepancies for review.
- Serve as a team member for assigned projects; providing support, such as research or implementation as assigned by management under coordination of all projects with several variables, working within a defined timeline and budget.
- Complete other duties within the scope of the role as assigned by supervisor.
- Bachelor’s degree and 2 years related experience or equivalent combination.
- Fluency in English. Knowledge of other languages is advantageous.
- Experience coordinating administrative processes.
- Experience generating reports and interpreting data.
- Experience in business writing, editing, and proofreading.
- Experience organizing time and managing diverse activities to meet deadlines.
- Experience working across teams and communicating with a wide range of stakeholders.
