A rare opportunity has arisen to seek a Business Administrator at entry level to support our HR and other administrative functions on an hourly basis, up to 12 hours per week. You must be 100% compliant with Privacy and Confidentiality and have excellent administrative, organisational skills and attention to detail.
A DAY IN THE LIFE OF A BUSINESS ADMINISTRATOR AT THE MUNICIPAL HOTEL & SPA MGALLERY
The Business Administrator plays a vital role in supporting the smooth operation of both the Human Resources and wider administrative functions within the hotel. Acting as a key point of coordination, you will ensure that employee records, HR processes, compliance activities, communications and administrative systems are maintained to the highest standard, supporting our commitment to delivering exceptional experiences for our Heartists® to enable them to deliver 5 star luxury service to our guests.
KEY RESPONSIBILITIES
- HR Administration & Employee Lifecycle
- Manage employee records, onboarding, offboarding, references and HR documentation, ensuring compliance and accuracy throughout the employee lifecycle.
- Coordinate new starter administration, including welcome communications, uniform preparation, system updates and employment paperwork.
- Process leaver administration, company asset returns and maintain secure storage of personnel files in line with GDPR requirements.
- Training, Compliance & Systems Administration
- Administer HR and training systems, maintaining accurate employee data and assigning role-specific mandatory training.
- Monitor training compliance and statutory requirements, providing regular updates and reports to management teams.
- Ensure all activities comply with company policies, GDPR legislation and hotel policy / compliance standards.
- Employee Engagement & Internal Communications
- Organise employee engagement activities, wellbeing initiatives, staff events, recognition programmes and charity events throughout the year.
- Coordinate employee recognition initiatives including probation celebrations, birthdays, Employee of the Month and Employee of the Quarter programmes.
- Create and maintain internal communications, newsletters, noticeboards, posters and employee updates.
- Uniform, Facilities & Operational Administration
- Manage the uniform store, stock levels, procurement requests and recorded distribution of uniforms to new and existing Heartists®.
- Administer employee lockers, coordinate key access requirements and related employee facilities.
- Coordinate internal meeting room bookings and support general operational administration across the hotel.
- Reporting & Administrative Support
- Prepare formal and informal meeting minutes, ensuring actions are accurately recorded and communicated.
- Conduct exit interviews and prepare regular reports highlighting trends, feedback and employee insights.
- Produce HR administration reports covering compliance, training, recruitment activity, employee turnover and key people metrics.
KEY COMPETENCIES AND KPI’s
- Highly organised with excellent time management and administrative skills.
- Able to maintain confidentiality, professionalism, professional boundaries and attention to detail when handling sensitive information.
- Positive, inquisitive, proactive, and able to work independently while building strong working relationships across all hotel departments.
- Accuracy and compliance of employee records, onboarding and offboarding documentation.
- Completion rates of mandatory training and statutory compliance requirements.
- Employee engagement participation, HR administration responsiveness within 48 hours and quality of reporting.
SKILL SET
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Must be a people person with strong listening, verbal and written communication skills.
- This is an entry level role and training will be provided on all aspects of Generalist HR and other Business Administration.
