A DAY IN THE LIFE OF A CONFERENCE & EVENTS OPERATIONS MANAGER AT OUR HOTEL
Event Operations
- Attend regular operations meetings to review upcoming events and discuss operational requirements with internal departments.
- Review event function sheets and client requirements provided by the Sales Team and ensure all operational requirements are in place.
- Oversee event setup, delivery, and breakdown across 11 event spaces.
- Act as the main operational contact during events and resolve any issues that arise.
- Ensure all departments are fully briefed on event requirements, timelines, room layouts, catering arrangements, and special requests.
- Identify potential operational challenges and implement solutions in advance of event delivery.
- Respond promptly and professionally to any operational issues, guest concerns, or last-minute changes.
- Ensure event spaces are prepared and reset in accordance with venue standards.
Weddings and Toastmaster Duties
- Support the smooth delivery of weddings and formal events.
- Act as Toastmaster when required, making announcements and coordinating key moments throughout the event.
- Liaise with couples, suppliers, and venue teams to ensure events run according to plan.
Team Management
- Support, supervise, and motivate the Events Team.
- Supervise event staff and allocate responsibilities effectively.
- Assist with staff recruitment, onboarding, and training.
- Deliver training sessions and maintain training records.
- Ensure team members understand company standards and procedures.
Administration
- Assist with preparing staff rotas and ensuring appropriate staffing levels for all events.
- Review and attest employee working hours, ensuring timesheets are accurate and submitted in line with payroll deadlines.
- Monitor labour costs and staffing efficiency in line with departmental budgets.
- Support the recruitment, onboarding, and retention of event team members.
Health & Safety
- Ensure all events are delivered safely and in line with company policies.
- Promote safe working practices and compliance across the team.
