Based in London and Hong Kong, The Mills Fabrica comprises an investment fund, co-working spaces, Fabrica X (innovation gallery & store), impact initiatives and partnerships. The Mills Fabrica is actively working to foster an ecosystem of innovators, who are committed to driving positive change for the planet.
Hours: 8am – 5pm / 9am–6pm, Monday to Friday, onsite (including a one-hour lunch break). The role requires a degree of flexibility, as working hours may vary occasionally to support on-site events.
Location: 36–40 York Way, King’s Cross, N1 9AB. This is an in-office role based on the ground floor front desk, with responsibility for providing cover for other front desk areas as required.
The Membership & Administration Assistant serves as the first point of contact for all visitors at The Mills Fabrica, delivering a warm welcome while supporting daily operations and providing essential administrative support. This role reports to the Membership Manager and Head of Europe.
Key Responsibilities:- Ensuring every guest that walks through the doors feels welcome and is greeted upon arrival.
- Handling impromptu visits from partners and potential collaborators, pointing into the right direction based on the needs of their visit.
- As the first point of contact, be able to represent The Mills Fabrica business to all guests.
- Liaising with all office and hot desk tenants, ensuring their welfare and that they receive the best support.
- Support the wider team with delivery of events, setup, and on-the-day coordination, with flexibility to assist outside of specified working hours when necessary.
- Supporting memberships team with the daily operations of the entire coworking space.
- Providing administrative support to the memberships & operations team.
- Diary management for the Head of Europe.
- Manage The Mills Fabrica’s database of industry contacts.
- Organisation of internal team activities and socials.
- Act as a key liaison between the UK team and the Hong Kong team to coordinate and deliver whole-team meetings.
- Maintain shared spaces by refilling pantry items and supporting general housekeeping standards.
- Act as the eyes and ears of the space by spotting and reporting faults or maintenance issues to the Facilities team.
- Bachelor’s degree or minimum of three years work experience.
- Preferred previous experience in a PA / office management role.
- Excellent written and verbal communication skills.
- Has a positive attitude, ability to problem-solve and strong organisational skills.
- Proficiency with PowerPoint, Excel and Google Sheets.
- Ability to build rapport with visitors, partners and members.
- Passionate about emerging innovative knowledge within the textiles/fashion and agri-food industry.
