The Event Coordinator plays a critical role in the planning and execution of our high-level events. This individual is responsible for coordinating with sponsors, C-suite and senior-level delegates, hotel and venue partners, internal teams, and travel vendors during the pre-event planning process. Daily communication with these stakeholders ensures that all meeting requirements, agendas, and travel arrangements are confirmed and customized to their needs.
Key responsibilities include building and managing the event meeting schedule, negotiating and confirming contracts with vendors, and collecting and organizing materials for the event guide. The Event Coordinator is expected to be on-site throughout the duration of each event, overseeing logistics, maintaining the event schedule, and ensuring smooth execution. This role requires direct interaction with executive-level attendees to provide a seamless, high-touch experience.
