The position of Event Planner has become available based at The Midland Hotel, Manchester. The successful applicant will be reporting into the Senior Events Planner and will support the management of the Event Planner Coordinators.
As Event Planner, you will be responsible for handling the event plans for all contracted business, co-ordinating all details on behalf of the client and creating a comprehensive and detailed event plan for the operation and the client.
Your responsibilities will include:
- Conducting full handover for converted bookings with Events Sales Team Leader.
- Introduction call and email to client/agent of your focus moving forward.
- Building rapport with the client and liaising with clients regularly to understand and document requirements.
- Providing Revenue Manager with regular updates of rooms pick up especially for larger allocations, to minimise risk at short notice.
- Ensuring all rooms are set to auto release as per the contract.
- Attending Pre Conference meetings with clients.
- Conducting Menu Tastings with clients.
- Attending Function Sheet Meetings at the hotel weekly as requested.
- Providing event plans/BEO’s as soon as possible to distribute to all hotel teams.
- Fully loading all rooming lists and ensuring VIP clients are highlighted.
- Updating systems at all times of any changes for event and also number of bedrooms.
- Ensuring payment methods are established in line with the contract and company policy ensuring a credit check is done where applicable.
- Liaising with the Audio visual supplier where necessary to ensure the client’s needs are met.
- Ensuring all menus are checked for balance and content particularly on consecutive meal periods and multiple days.
- Upselling at all opportunities to maximise revenue.
- Ensuring all discounted or complimentary items have the managers/GMs approval.
- Generating and passing on sales leads established as rapport is built with the client.
