The Marketing & Communications Professional Assistant (PA) provides high‑quality, proactive personal assistance and administrative support to leadership across Marketing & Communications, principally the Head of Marketing & Communications, enabling pace, focus and effective decision‑making in a fast‑moving environment. This is a PA‑led role first and foremost, requiring exceptional organisation, sound judgement, discretion and the ability to anticipate needs. Alongside this core remit, the role also provides hands‑on operational and administrative support to the wider Marketing & Communications team, contributing to the smooth delivery of marketing, communications and events activity. The breadth of the role reflects the close working relationship with the team and offers variety and exposure, while maintaining a clear and consistent emphasis on excellence in core PA responsibilities.
The Marketing & Events Director is responsible for the line management of the Marketing & Communications PA, however, this role will also work closely with, and take direction from, the Head of Marketing & Communications.
Key Responsibilities- Core PA Responsibilities: Provide proactive, high‑quality PA support to the Head of Marketing & Communications and senior team leaders, acting as a trusted organiser and central point of coordination. Manage complex diaries and inboxes, confidently prioritising competing demands, assessing urgency and exercising judgement on behalf of senior leaders. Coordinate internal and external meetings, ensuring logistics are handled seamlessly, including venues, catering, AV, accessibility requirements and guest management. Prepare agendas, briefing notes and supporting documentation; attend meetings as required to capture minutes, actions and follow‑up with precision and accuracy. Coordinate domestic and international travel arrangements, including itineraries, accommodation, insurance and visas, in line with company policy. Manage confidential correspondence, papers and sensitive information with the highest level of discretion and professionalism.
- Team & Operational Support: Provide day‑to‑day administrative and operational support to the Marketing & Communications team, ensuring effective coordination and smooth day‑to‑day running. Support team processes including onboarding new team members, maintaining staff profiles, booking training, conferences and services. Assist with financial administration such as expense processing, invoice handling, budget tracking and accurate record‑keeping. Support and, on occasion, independently run internal and external events, coordinating logistics, managing suppliers and providing confident on‑the‑day delivery. Maintain and publish intranet and digital content, ensuring updates are accurate, timely and consistent. Arrange travel and accommodation for filming and photography activities, ensuring all logistics are managed efficiently. Contribute to improving team efficiency by maintaining systems and tools, streamlining processes and supporting the adoption of new ways of working (including the use of AI and digital tools).
- Wider Contribution: Provide flexible and responsive support across the Marketing & Communications function, adapting to changing priorities and ad hoc requests as needed. Contribute to the wider Professional Assistant community, sharing best practice and supporting cross‑organisational activity where appropriate.
- Proven PA experience: Demonstrable experience in a PA/EA and/or senior administrator role with supporting senior leaders and teams in a dynamic environment.
- Exceptional Organisation, prioritisation & pace: Excellent organisational and time management skills; anticipates needs; ability to multi‑task and manage multiple deadlines calmly.
- Judgement & anticipation: Strong judgement and the confidence to reprioritise and act independently; able to anticipate needs and stay one step ahead.
- Communication & Discretion: Clear, concise writing; confident, professional verbal communication with a wide range of stakeholders at all levels, demonstrating a high level of tact, diplomacy and discretion.
- Attention to Detail: Consistently high standards of accuracy, presentation and follow‑through across all work.
- Initiative & Ownership: Proactive, reliable and self‑motivated; takes ownership of tasks and sees them through to completion. Ability to work on own initiative, responding quickly to shifting priorities, with the ability to reprioritise effectively at short notice while maintaining pace, accuracy and control of workload.

- Digital confidence: Strong Microsoft 365 skills (Outlook, Word, PowerPoint, Excel, Teams, SharePoint); confidence in learning new tools and systems quickly with an interest in using AI to improve ways of working.
- Sector experience: Experience supporting marketing, communications or events activities.
- Industry knowledge: Experience within a university, research, innovation, or not-for-profit environment.
- Digital capability: Familiarity with Dynamics 365 Customer Insights Journeys, Microsoft Power Platform and Copilot, project management and AI tools, web CRMs and basic social scheduling or media‑monitoring tools.
