Market Surgery is excited to be recruiting a Medical Receptionist to join our busy practice. An opportunity has arisen to join our team of 11 receptionists. Market Surgery is conveniently based in the heart of Wath‑Upon‑Dearne with excellent transport links to Rotherham, Doncaster, Barnsley and Sheffield. Receptionists play a fundamental role in Primary Care Services. As the first member of staff that a patient encounters, their journey of patient‑centred care starts with you. 27.5 hours per week over 5 days. Shift patterns are a mixture of 07:45‑13:15 and 13:00‑18:30.

Main duties of the job:

  • Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.
  • Undertake a variety of administrative duties to assist in the smooth running of the Practice, including provision of clerical support to clinical staff and other team members.
  • Facilitate effective communication between patients, the primary health care team, secondary care and associated healthcare agencies.
  • Opening up/locking‑up of Practice premises and maintaining security in accordance with Practice protocols.
  • Manage timely completion of tasks for the attention of reception teams.
  • Registration and deduction of patients from the Practice Register.
  • Maintain and monitor the Practice appointments system.
  • Process telephone, online and face‑to‑face requests for appointments, visits and telephone consultations, directing patients to appropriate healthcare professionals.
  • Care navigation to external care providers.
  • Filing and retrieving paperwork.
  • Process repeat prescriptions in accordance with Practice guidelines.
  • Computer data entry, data allocation and collation; process and record information in accordance with Practice procedures.
  • Initiate contact with and respond to requests from patients, other team members and associated healthcare agencies and providers.
  • Provide clerical assistance, including word/data processing, filing, photocopying and scanning.
  • Keep the reception area, noticeboards and leaflet dispensers tidy and free from obstructions and clutter.
  • Promote patient uptake of online consultation tools.
  • Promote patient uptake of NHS App.
  • Process receipt/delivery of patient samples and vaccines in line with cold chain policies.

Qualifications:

  • GCSE grade A to C in English and Maths.
  • Customer Service or Business Administration NVQ or equivalent.

Experience:

  • Experience in a patient/customer facing role.
  • Telephone customer service experience.
  • Experience dealing with patients who may become confrontational.
  • Experience of complaint handling.
  • Experience in a medical environment.
  • Experience as a Medical Receptionist.

Knowledge and Skills:

  • IT literacy, including Microsoft Word and Excel.
  • Articulate and excellent communication skills (verbal and written).
  • Trained in SystmOne.
  • Understanding of general medical terminology.

Personal Attributes:

  • Resourcefulness and use of judgement.
  • Maintain confidentiality.
  • Polite and courteous.
  • Able to work at speed whilst maintaining accuracy.
