We are working with a well-established property group based in the West End of London. They are seeking a part-time PA / Board Coordinator to work between 16-24 hours per week over four days (Tuesday to Friday) with some office presence and some remote working.
The role is for not just PA support but an experienced Board coordinator who can interface with a high profile, demanding Chairman, Leadership team and external Board of Directors. The working hours will be agile but will ramp up quarterly around Board and committee meetings to handle the extra coordination of these processes, so we need a candidate who is flexible on working hours.
Duties
- Manage diary of Chairman, COO and other Executives
- Engage and co-ordinate with Board members and their admin teams
- Liaise with outsourced providers, accounting, property, legal, marketing services
- Manage the schedule of daily/weekly/monthly reoccurring meetings and book rooms accordingly
- Prepare and circulate meeting agendas, minutes, notes and other supporting documentation
- Prepare and disseminate correspondence
- Proofread, sense check and finalise official documentation
- Make travel arrangements
- Procure office supplies and ensure stock levels

- Experience coordinating Board papers, meetings and processes
- Proven ability to liaise with demanding, high-profile executives and non-executives
- Experience as a Senior EA and ability to deftly manage schedules and actions
- Excellent written and verbal communication skills
