Role Description

The Events and Groups Planning Executive is a full-time, on-site role based in the London Area, United Kingdom.

This role is responsible for coordinating and planning group bookings and events, including meetings, conferences, social gatherings, and bespoke functions across the hotel's event spaces.

Day-to-day activities include managing inquiries, preparing proposals, conducting site visits, and liaising with clients to understand their requirements and create tailored event solutions.

The executive will collaborate closely with sales, operations, food and beverage, and front-of-house teams to ensure seamless execution of events, accurate rooming lists, and timely communication of event details.

The role also includes maintaining accurate records, monitoring budgets, supporting revenue targets, and upholding The London's premium guest experience standards throughout the event planning process.

Qualifications

  • Demonstrated experience in event planning, group reservations, or conference and banqueting coordination within a hotel or hospitality environment.
  • Strong client relationship management skills, including the ability to understand client needs, provide proactive solutions, and deliver high-quality service.
  • Excellent organizational and time-management abilities, with competence in handling multiple events, deadlines, and administrative tasks simultaneously.
  • Effective communication skills, both written and verbal, with the ability to collaborate confidently with internal teams and external partners.
  • Solid attention to detail and accuracy in preparing proposals, contracts, function sheets, rooming lists, and event documentation.
  • Proficiency with common office software and hotel/event management systems; familiarity with CRM and booking platforms is an advantage.
  • Comfort working in a fast-paced luxury hospitality setting, maintaining professionalism and composure while delivering a premium guest experience.
  • Relevant education or training in hospitality management, events management, business, or a related field is preferred.
