We have an exciting opportunity for a Medical Secretary to join our Client Relationships Team here at The London Clinic, based at our Head Office site in London (NW1 4LJ). We are offering a competitive salary. Established in 1932, The London Clinic is one of the UK’s largest private hospitals, with 8 state-of-the-art facilities, and circa 1350 employees where we are dedicated to providing our patients with expert, individualised treatment and care.
Our main hospital spans 8 floors comprising of 150+ patient beds and 10 operating theatres, including a Hybrid theatre and two minimally invasive / day surgery theatres. Speciality areas include General surgery, ENT, Gynaecology, Hepatobiliary, Neuro-spinal, Ophthalmic, Orthopaedic, Plastic and reconstructive, Robotic, Urology, Vascular & Weight loss surgery (bariatric surgery).
Job Profile
To play a key role in the setting up and progressive development of the administrative support services provided to Consultants at The London Clinic. The Medical Secretary is responsible for the co-ordination of the pathway through and management of Consultants' administrative needs, providing day to day operational support for the clinics. The post holder will be required to act as a flexible administrative resource actively supporting patients and consultants to provide a high level of service.
Job Type: 12-month FTC, Full-time
Shift Pattern: 37.5 hours per week

Key Duties
- Provide first point of contact for patients, relatives, G.Ps’, Clinic’s staff and other professional bodies for written and telephone enquiries relating to the Consultant’s practice at The London Clinic.
- Provide Consultants with a comprehensive range of administrative services whilst developing their practice within The London Clinic.
- Assist in the organization of the Consultant’s workload, maintaining the highest levels of discretion and confidentiality concerning patient information at all times.
- Support clinicians with any queries on The London Clinic’s policies and procedures, systems and administration by being the first point of contact and the link between other internal departments.
- Action all Consultants’ correspondence appropriately, in a timely manner and respond accordingly.
- Ensure all patient notes, patient details, referral letters and information is captured and dealt with accordingly, using our systems to ensure patient appointments and consultant diaries are accurately maintained.
- Support the transfer of secretarial and administrative duties to staff appointed by the consultant.
- Liaise with clinical and administrative staff regarding investigations, appointments, inpatient stays; ensuring that all requested investigations or appointments are booked as requested.
Skills & Experience
- Previous healthcare industry administrative background with knowledge of doctor’s practice, ideally private practice.
- Strong sense of patient focus and delivering exceptional customer service in a hospital setting.
- Basic secretarial and strong PA skills in a fast-paced environment.
- Experience of handling a diverse workload in both a busy administrative and clinical setting.
- Ability to work effectively with people from a range of diverse backgrounds, as well as a range of healthcare professionals.
