Role Summary:
- To provide a professional and patient focused service to our referring consultants and their patients attending our reception, registration and cashiering areas.
- To provide administration support to Front of House Medical Administrative Areas.
- To ensure the highest levels of service excellence are delivered to patients, staff and visitors of the Clinic.
- To maintain the high standards of the patients, visitors, consultants and staff, continually aiming to exceed expectations.
- To follow departmental processes and procedures to ensure that the best services are delivered to our patients.
- To have first class customer service skills and be of smart appearance when dealing with patients and visitors on a daily basis.
- To be flexible to the ever-changing environment and be willing to support the team
- To well organized as there will be expectations to multitask within this position.
Main duties and responsibilities:
- Greet all patients and visitors, ensuring each individual is treated with respect and with consideration for their privacy and comfort.
- Act as a champion for customer service excellence and be a custodian for Clinic Standards to all Clinic staff.
- Act with integrity and a professional manner in order to promote the Clinic at all times.
- To be actively involved in the Front Hall and assist, direct and informs all users on entry to the premises.
- Assist in the movement of Patients in and around all Clinic Buildings. (This is when the work load of the Front Hall permits)
- Be familiar with local businesses, hospitals, parking possibilities, shops, hotels in order to give advice to patients and their relatives.
- To manage the flow of Breast Pathway patients using the MS Teams patient Tracker
- To liaise with the nurses supporting clinics in regards to patient waiting times
- To clean and replenish all coffee machines in the building
- Ensure that all beverage items are ordered in a timely manner and stock taking of all items.
- To prepare consultants rooms and ensure their name plates are on the door before clinic commences.
- Replenish carousel with leaflets and patient information.
- Assist in the movement of wheelchair Patients in and around all Clinic Buildings. (This is when the work load of the Front Hall permits)
- To distribute post and packages to consultants and their secretaries.
- Ensures that there is a supply of wheelchairs available at the Front Hall entrance at all times
- Assist wheelchair patients in and out of the building in Consulting houses
- To maintain the highest standards in personal hygiene, uniform, appearance, body language and conduct.
- Be competent and follow the departmental emergency procedures including Fire Alarm, Cardiac Arrest, and any other emergency procedures related to the Front Hall.
- In the absence of the Receptionist the Front Hall Porter on duty will be required to take on the responsibility of running Reception desk and monitoring emails through Microsoft Outlook and all the Medical Systems.
Skills & experience:
- Strong customer service skills with experience in a fast-paced environment
- Ability to handle sensitive information confidentially
- A flexible and proactive attitude to work including availability for a variety of shifts
- Previous experience in a healthcare or customer support setting is desirable but not essential
