As a GP Receptionist, you will be the first point of contact for our practice, welcoming patients, managing appointments, and supporting the smooth day-to-day running of our busy surgery.

Main duties of the job

We are seeking a friendly, organised, and professional GP Receptionist to join our team. As the first point of contact for patients, you will deliver a welcoming and efficient service both in person and over the phone. Your responsibilities will include booking and managing appointments, responding to patient enquiries, updating records, processing prescriptions, and providing general administrative support to the clinical team. The successful candidate will demonstrate excellent communication skills, a calm and compassionate approach, strong attention to detail, and the ability to work effectively under pressure in a busy practice environment. Previous experience in a GP setting is essential.

About us

The practice is led by four GP Partners, supported by a Practice Business Manager and an Operations Manager. Our wider team includes a further four GPs, three Physician Associates, and six members of the nursing team, alongside approximately fifteen administrative and reception staff. We also work closely with two neighbouring practices as part of a Primary Care Network.

Job responsibilities

The post holder will be the first point of contact for patients, both in person and by telephone, providing a welcoming, professional, and efficient reception service. The role involves supporting patients to access appropriate clinical care while maintaining a friendly and compassionate approach.

Key Duties

  • Greet patients and handle enquiries courteously in person and by telephone
  • Book, cancel, and reschedule appointments, including requests for home visits
  • Triage patient enquiries and pass messages accurately in line with practice procedures
  • Keep patients informed of delays and address concerns sensitively
  • Support GPs, Nurses, and the wider clinical team with administrative requests
  • Order ambulances and interpreters as required
  • Maintain familiarity with appointment and telephone systems
  • Work effectively as part of the reception team
  • Handle complaints in accordance with practice procedures
  • Ensure reception and waiting areas are clean and tidy
  • Advise patients on prescription turnaround times and non-NHS service charges
  • Open and close the practice as required, following security procedures

Person Specification

Qualifications

  • Educated to GCSE level or equivalent.
  • GCSE Mathematics and English – C or above.

Experience

  • Previous experience working in a GP practice
  • Proficient in using EMIS, Docman, and other practice IT systems
