Job Description

Are you ready to bring together structure, communication excellence, and day‑to‑day operational leadership in a fast‑paced role partnering closely with leadership? Join us as an Executive Assistant and become a trusted partner to the Vice President (VP) of LEGO Brand Retail Stores (LBR). In this impactful role, you will drive structure, enable collaboration, and support initiatives that shape the future of LEGO Brand Retail Stores in AMS and EMEA.

Core Responsibilities

  • Provide high‑level administrative support to the VP, proactively supporting daily management duties such as calendar management and reporting.
  • Anticipate needs and propose solutions to avoid scheduling issues, workload bottlenecks, or communication gaps.
  • Organize end‑to‑end travel arrangements, including itineraries, accommodations, and visa requirements.
  • Manage the LBR Leadership Team’s meeting agenda and summaries, capturing actions and following up on tasks.
  • Steer the annual calendar for the VP and Leadership Team (town halls, regular meetings, seminars, etc.) and support them through ad‑hoc project coordination.
  • Support Global Core Processes (people, finance and communication plans).
  • Contribute to strengthening collaboration and stakeholder management toward relevant stakeholders, representing the VP with professionalism and discretion.
  • Provide detailed planning and coordination of meetings, workshops, seminars and events including the yearly Store Manager summit in AMS.
  • Support the onboarding process for new team members and help foster a collaborative, inclusive team culture.
  • Arrange quarterly LBR Leadership team off‑site conferences.
  • Participate in ad‑hoc projects.

Qualifications

  • Extensive experience as an Executive Assistant, Personal Assistant, Business Enabler, or equivalent.
  • High level of service, problem‑solving and judgement skills, enabling sound recommendations for smooth operations.
  • Ability to manage multiple priorities in a dynamic, fast‑moving environment.
  • High level of professionalism, confidentiality and discretion in handling sensitive information.
  • Proven event planning and coordination skills.
  • Experience using Microsoft products, IT platforms and apps.
  • Strong skills in creating presentation materials.
  • Exceptional English communication skills – both written and verbal.
  • Structured, trustworthy, proactive and positive attitude with global awareness.
