MARCO, a globally recognised automation and technology company and part of the ATS Group, is seeking a dynamic Project Coordinator to support our growing Projects Team based in Edenbridge. The Project Coordinator will provide operational and administrative support to the team, ensuring customer orders are progressed efficiently from order receipt through delivery and invoicing. The role acts as a key coordination point between customers, internal departments, and external partners to ensure accurate documentation, clear communication, and on-time delivery.
The Project Coordinator will also be responsible for maintaining project and order data within ERP and internal tracking systems, supporting customer communications, and ensuring that commercial, shipping, and invoicing activities are completed accurately and on schedule.
Key Responsibilities include:- Project & Order Coordination
- Supporting the Project Manager in the coordination and administration of customer orders and projects from order intake to completion.
- Maintaining accurate and up-to-date project and order records within ERP systems and internal tracking tools.
- Monitoring order and project progress and escalating risks or delays as required.
- Core Operational Functions
- Raising customer orders within the ERP system, ensuring accuracy of commercial and technical information.
- Sending order confirmations to customers and gathering all required customer specifications, documentation, and delivery requirements.
- Providing customers with clear order and delivery timelines and ongoing status updates.
- Notifying and coordinating with internal departments on order progression and key milestones.
- Arranging customer packing and shipment of orders in line with agreed requirements.
- Preparing and issuing shipping documentation, including packing lists and commercial invoices.
- Raising customer invoices and following up to ensure timely issuance and resolution of queries.
- Customer & Stakeholder Communication
- Ensuring clear, timely, and professional communication with internal and external stakeholders and customers.
- Supporting resolution of order, delivery, or invoicing queries in collaboration with the Project Manager and Finance.
- Systems, Documentation & Compliance
- Ensuring all project and order documentation is accurately stored and maintained in ERP and internal systems.
- Following internal procedures, quality standards, and compliance requirements.
- Supporting continuous improvement of order processing, tracking, and reporting processes.

Requirements- Experience in a Project Coordinator, Project Administrator, Operations Support or similar role (Essential)
