About the Company

Join a dynamic international business that works across multiple industries. Our client is growing and seeking a confident, German-speaking Executive Assistant / Administrator to play a key role in supporting day-to-day operations at their London office.

The Role: German Speaking Executive Assistant / Administrator

As the Executive Assistant / Administrator, you’ll be the first point of contact for the office and provide vital support to the Office Manager and company leadership. You’ll oversee a range of administrative functions, ensure smooth daily operations, and use your German language skills to support communication with clients and partners across German-speaking regions.

Key Responsibilities:

  • Welcome all visitors, including clients, suppliers, and couriers
  • Answer and manage incoming calls and emails
  • Organise business meeting rooms and manage meeting logistics
  • Oversee general office operations, supplies, and facilities
  • Arrange domestic and international couriers (e.g., UPS for GMG proofs)
  • Manage international travel and accommodation bookings
  • Administer timesheets and attendance systems
  • Provide administrative support to the Managing Directors
  • Proofread German-language marketing materials, contracts, and client content
  • Assist project teams with ad-hoc research or German client communications

What We’re Looking For

  • Fluent in German and English (written & spoken)
  • Previous experience in a busy reception, office coordination, or admin support role
  • Experience in a design, creative, or agency-style environment is a plus
  • A personable and professional manner – calm under pressure and client-facing
  • Excellent time management, multitasking, and organisational skills
  • Background in client service or hospitality is advantageous
