The Role of the Receptionist

The Academy Selsey are recruiting for a Part Time Receptionist to present a positive, warm and welcoming face of The Academy to students, staff and visitors. The ideal candidate will be an integral part of the Office Team carrying out general administration duties and customer service.

Key Duties and Responsibilities of the Part-Time Receptionist:

  • Welcome visitors to the school in an efficient and polite manner, ensuring they have signed into the visitor system and notify staff of their arrival
  • Answer queries as appropriate or, forward them to the correct department
  • Answer incoming calls and forward as appropriate or take detailed messages to forward to relevant person
  • Contact parents/carers by phone as requested
  • To promote and safeguard the welfare of students. Feeding back to appropriate colleagues any concerns regarding students.
  • To undertake relevant training as required to support the functions of the post and to enhance personal development.
  • To undertake safeguarding training, be aware of Child Protection guidance and act with vigilance to ensure all students are safe.
  • To ensure full compliance with the Health and Safety at Work Act, Data Protection Act and other relevant legislation

What We’re Looking For:

  • Strong organisational and time-management skills.
  • Proficient in using office software (e.g., Microsoft Office Suite, school management systems).
  • Compassionate, with the ability to handle sensitive welfare issues discreetly.
  • Experience in office administration, preferably in a busy environment with multiple responsibilities.
  • Experience interacting with the public, including handling inquiries and managing communication via phone, email and in person.
  • Experience using office software (e.g. Microsoft Office or Google Suite) and familiarity with management information systems (e.g. Arbor or equivalent).
  • Experience maintaining accurate records, including sensitive information, while adhering to data protection laws (e.g. GDPR compliance).
  • A caring nature, particularly when dealing with students in need of medical or welfare support.
  • Approachable and capable of building positive relationships with students, staff, and parents.
  • Collaborates effectively with colleagues while also being able to work independently.
  • Meticulous in handling records and compliance-related tasks to avoid errors.
