We have a fantastic opportunity for a for a Racing Asistant to support the racing function at Aintree Racecourse, acting as a main point of contact for permanent staff, casual staff and stakeholders and to undertake administrative tasks to ensure the smooth running of racing.

The Racing Assistantwill

  • Provide administration support to the Head of Racing, maintain confidentiality and act as a main point of contact at Aintree Racecourse for all racing queries, deal with correspondence, and answer and manage calls.
  • Attend meetings and to take note/minutes as required and relay outcomes when Head of Racing is unable to attend.
  • Assist the Head of Racing with the completion of all required Raceday paperwork in accordance with BHAGI’s and to ensure distribution of all pre-raceday paperwork to Officials and Raceday Staff.
  • Liaise with Raceday Officials, Veterinary & Medical Team regarding fixtures, race times, rota duties, invoicing etc.
  • Liaise with Stakeholders including the PJA & NTF to manage any queries and disseminate essential information in the lead up to race meeting.
  • Collate, update, produce and circulate (in conjunction with the Senior Veterinary/Medical Officer) the Medical and Veterinary Standing Orders.
  • Produce and collate relevant contracts for Medical, Veterinary, Horse Ambulance, Physiotherapist and Farrier teams
  • Assist with the updating of Prize Money Schedules and Racing Calendar returns.
  • Update and distribute the Orders of Running for all race meetings.
  • In conjunction with the Head of Racing, organize pre-Grand National Medical and Veterinary briefings. To include the production of agendas, writing and distributing meeting notes to the relevant parties
  • Arrange all Racing Department race day casuals for non-Grand National meetings, including inputting and approving shifts and liaising with Weighing Room Staffing Manager, Horse Catcher Team Manager and Veterinary Student Manager regarding their teams.
  • Liaise with the Head of Racing and relevant team members and organisations in the planning and running of pony races, charity races and any other races which do not fall under the BHA Rules of Racing.
  • Attend pre-raceday planning meetings and to input on behalf of racing team.
  • Attend all racedays and assist the Head of Racing as required.

About you.

  • Highly organised and process driven
  • Excellent communication skills (written & verbal)
  • Excellent telephone manner
  • Previous experience in an office environment with strong administrative skills.
  • Computer Savvy with experience using Microsoft Word / Excel / Outlook.
  • Proactive approach to work capable to work alone and as part of a team.
  • Knowledge of racecourse operations or the horseracing industry.
