About the Role

The Isle of Wight College is looking for a highly organised, proactive Estates Administrator to play a vital role at the heart of our operations. This isn’t just admin—it’s mission‑critical coordination. You’ll be the engine behind our Estates functions, supporting the Head of department ensuring everything runs efficiently, compliantly, and without disruption. From managing contractors and coordinating maintenance work to tracking budgets, reconciling purchase orders, and preparing key documentation, you’ll keep the administrative backbone of the department running flawlessly. You’ll take ownership of essential systems and records, maintain audit‑ready documentation, and act as a confident point of contact during inspection visits. Whether you're supporting training programmes or ensuring value for money across procurement, your work will directly contribute to a safe and well‑managed campus.

What You’ll Be Doing

This is a dynamic, hands‑on administrative role where your organisation and coordination skills will make a real difference. You will:

  • Take ownership of estates administration processes, ensuring accuracy and compliance at all times
  • Coordinate contractors, bookings, and documentation to keep projects running smoothly
  • Manage and reconcile purchase orders, budgets, and stock control, ensuring efficiency and value
  • Maintain audit‑ready records and systems, keeping everything compliant and up to date
  • Act as a key liaison for site visits, inspections, and external partners

You’ll also support operational safety by:

  • Coordinating DSE assessments and equipment provision
  • Supporting the department with fire drills and emergency preparedness planning
  • Coordinating training with external providers (including the NHS)
  • Tracking training compliance across the College (First Aid, evacuation chairs, MIDAS)

About You

We’re looking for someone who thrives in a fast‑paced administrative environment and takes pride in keeping things organised, compliant, and running smoothly.

  • Level 2 qualifications in English and Maths
  • Proven experience in an administrative or coordination role (essential)
  • Experience within Health & Safety or Estates administration
  • A strong understanding of compliance, legislation, and best practice
  • Excellent organisational skills with the ability to manage multiple priorities
  • A full, clean driving licence and access to a vehicle with business use insurance
