The Facilities Manager will oversee all aspects of Facilities Management for the Islamic Society of Boston locations in Cambridge and Roxbury. The Manager will be responsible for maintaining and overseeing all aspects of buildings management and operations and basic repairs, as well as grounds and equipment. The Manager will also be responsible to lead the facilities team in maintaining safety, cleanliness, and efficient operation. The role demands strong leadership, problem-solving skills, and solid experience of safety and compliance requirements to maintain a productive and secure environment.

Reporting Responsibilities: This position will report directly to the Senior Manager, Operations & Administrative Manager, and will have regular visibility and support from the ISB Board of Directors (BOD). The role involves managing the Facilities Team Lead, with oversight responsibilities for housekeeping assistants.

Position Type: Flexible, Full-time or Part-time.

Job Duties:

  • Coordinate with contractors and team members for regular maintenance, repairs, and facility renovations including, but not limited to landscaping, carpentry, masonry, painting and plumbing, basic electronics, electrical systems and mechanical work, fire/life safety, and elevators.
  • Plan and manage budgets, schedules, and contracts for major facilities renovation and modification projects, including cost estimates, bid sheets, negotiation, layouts, and contracts for construction and acquisitions.
  • Act as a liaison for public utilities and regulatory compliance, maintain permits and all communication.
  • Inspect construction and installation progress to ensure conformance to established specifications.
  • Oversee and direct contractors and subcontractors engaged in equipment installation, facilities equipment repair, and preventive maintenance.
  • Write clear, step-by-step guides that outline best practices for daily operations, repairs, and equipment management.
  • Set quality and safety benchmarks to ensure consistency in tasks across teams.
  • Lead project to draft, review, and update all relevant SOPs to align with policies, technology, and regulatory standards, ensuring they meet health, safety, and compliance requirements. Oversee adherence to these SOPs and make adjustments to improve operational efficiency and effectiveness.
  • Track, acquire, and maintain records for suppliers, contractors, licenses, certifications, insurance certificates, equipment inventory from procurement to termination, and asset labeling for both buildings.
  • Monitor and optimize energy consumption, HVAC systems, solar power, and building conditions.
  • Develop cleaning plans and oversee cleaning schedules, supply orders, and proper functionality of building systems.
  • Supervise, train, and evaluate maintenance and housekeeping staff, supporting positive vendor and attendee relations.

Qualifications:

  • 5-10 years of progressive responsibility in commercial facilities management or project management with 2 years of supervisory experience.
  • Excellent knowledge, background, and experience of all building trades, construction, grounds maintenance, budgeting, working knowledge of industry safety, compliance, cleaning procedures and standards.
  • BA or BS degree in Engineering, Architecture, or Construction Management preferred.
  • Applicable license and certificates required (e.g., Building Operator Certificate, Refrigerant Certificate, HVAC Certificate, and Certificate in Facilities Management–preferred).
  • Must be eligible to work in the U.S.
  • Excellent interpersonal, written and verbal communication skills in English. Additional language skills (Arabic) helpful.
  • Ability to execute projects systematically and solve multiple problems simultaneously.
