Are you passionate about delivering high-quality administrative support for a global organisation? The ITF is looking for a proactive and detail-oriented Global Administrator to join our team.

About the role

As Global Administrator you will play a key part in supporting the operational delivery of international governance meetings and events in line with the ITF’s constitution, and communications to member organisations and external partners. You will work with colleagues and external stakeholders worldwide to ensure the smooth delivery of the administration function, contributing to the successful delivery of our Congress cycle and organisational work programme. Working with a team of administrators, you will report to the Global Administration Coordinator.

Key Duties and Responsibilities

  • Organising international meetings and conferences: setting up registration platforms for in-person and virtual meetings; venue sourcing; budgeting & forecasting; delegate management; managing rooming allocations, catering and audio-visual (AV) requirements; arranging interpreters where required; booking international travel and supporting visa processes.
  • Documentation: assisting with the drafting, proofreading & formatting of documentation for committee meetings and conferences, to ensure high-quality and language appropriate documentation; minute taking and report writing at committee level.
  • Administration: drafting, proofreading and formatting internal and external communications in line with ITF templates and standards; processing supplier invoices; other general administrative duties as required.
  • Membership: maintaining accurate records and updating ITF databases and other tools, including CRM, to ensure governance committee membership and contact records are up-to date.

About you

We’re looking for a highly organised individual to support the delivery of our global organisational work programme. With responsibility for organising committee meetings and conferences across several of our industrial sectors, and providing administrative support, you will need the following to be successful in this role:

  • Proven experience as an Administrator with excellent organisational and forward planning skills
  • The ability to prioritise effectively, and manage multiple tasks and projects simultaneously
  • Clear and accurate written and verbal communication skills with a high standard of written English and excellent attention to detail
  • Confident working with diverse internal & external stakeholders in a multilingual environment (knowledge of languages other than English would be an asset)
  • Maintain confidentiality when handling sensitive information
  • Strong numerical skills, with experience of budgeting, reconciliation, and expense reporting
  • Experience of arranging international travel and diary management
  • Work independently & effectively with limited supervision as a liaison for our global membership and international partners
  • Calm, adaptable and proactive problem-solver
  • Proficient with SharePoint, Teams, MS Office 365, and familiar with Zoom, Cvent and Concur (or similar tools).
  • Experienced with CRM systems and data handling
  • Willingness to travel overseas occasionally to support international meetings & conferences
  • Commitment to social justice and trade union values, or mission-driven work
