An excellent opportunity has arisen for a Legal Secretary to join a leading law firm in London. This Legal Secretary role sits within a busy legal team and provides essential secretarial and administrative support to Partners and Fee Earners. The Legal Secretary will play a key role in ensuring the smooth running of day-to-day operations, delivering accurate, timely and professional support across a wide range of legal and administrative tasks. This Legal Secretary position is ideal for an experienced, highly organised individual who thrives in a fast-paced legal environment.

Key Responsibilities

  • Legal Secretarial Support
    • Provide comprehensive secretarial support to assigned Partners and attorneys as a Legal Secretary.
    • Prepare, format, proofread and amend legal documents in line with firm standards.
    • Transcribe documents from handwritten notes and dictation where required.
    • Maintain accurate calendars, diaries and deadline tracking systems.
    • Organise and prioritise incoming calls, emails, mail and documentation.
  • Administration & Coordination
    • Schedule meetings, conferences and departmental activities.
    • Arrange travel, accommodation and itineraries, including expense processing.
    • Manage electronic filing systems and inbox organisation.
    • Open, maintain and close client and matter files in line with procedures.
    • Support CRM updates and ensure client contact records are accurate.
  • Document & Workflow Management
    • Ensure all documents are processed accurately using firm systems and software.
    • Maintain high standards of quality control through proofreading and editing.
    • Handle document overload requests, scanning, photocopying and filing when required.
    • Support timesheet entry management for Fee Earners.
  • Team & Client Support
    • Communicate professionally with clients, attorneys and staff at all levels.
    • Maintain confidentiality at all times when handling sensitive information.
    • Support colleagues across the secretarial team during absences and busy periods.
    • Assist with general administrative duties and ad-hoc requests as needed.

Skills & Experience

  • Proven experience as a Legal Secretary within a law firm environment.
  • Strong understanding of legal office procedures and documentation standards.
  • Excellent typing speed (approx. 70 wpm) and transcription ability.
  • High level of accuracy in spelling, grammar and formatting.
  • Strong organisational and time management skills.
  • Ability to manage multiple priorities under tight deadlines.
  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint; Visio desirable).
  • Ability to work effectively both independently and as part of a team.
