About the team

The Admissions Team at Surbiton High School plays a pivotal role as the first point of contact for prospective families across our three schools and multiple entry points. As a team of five, we work together to deliver a welcoming, efficient, and highly informative admissions experience that reflects the school’s ethos and high standards. The Admissions Data Assistant will be central to this work, supporting the team through data and CRM management, alongside wider administrative responsibilities. Together, we guide parents and pupils through every stage of the admissions journey, ensuring they feel supported, informed, and confident in their decision making.

What you’ll be doing

  • Maintain accurate and up-to-date applicant records across CRM and admissions systems (HubSpot, iSAMS and the Bursary Portal)
  • Process enrolments and withdrawals, ensuring compliance with reporting requirements
  • Carry out data cleansing and validation, identifying inconsistencies and improving data quality
  • Develop and maintain workflows to support efficient admissions processes
  • Produce reports, datasets and lists for admissions panels, senior leaders and external bodies
  • Support application processing, assessments, interviews and offers
  • Respond to phone and email enquiries across all three schools with a professional, welcoming approach
  • Contribute to open events, including planning, logistics and delivery
  • Assist with scholarship processes and communications
  • Create and maintain pupil files, supporting archiving and record-keeping

About you

  • Strong experience in database administration and CRM systems (ideally HubSpot, iSAMS or similar)
  • Advanced Microsoft Office skills, particularly Excel and reporting tools
  • Excellent attention to detail, organisation and analytical thinking
  • Clear and sensitive communication skills, both written and verbal
  • Ability to manage multiple priorities and meet deadlines under pressure
  • Strong interpersonal skills with the ability to build relationships at all levels
  • A proactive, can-do attitude with a commitment to high standards
  • Integrity, discretion and a professional approach at all times
  • An interest in education and an understanding of independent schools (desirable)
  • You’ll also be a team player, willing to contribute to school life and support key events, including occasional evenings and weekends.
