A DAY IN THE LIFE OF A RESERVATIONS TEAM MEMBER AT THE IMPERIAL HOTEL

What you'll be doing...

  • Be the voice (and sometimes the problem-solver superhero) of our hotel, creating brilliant first impressions for guests calling, emailing, or booking online.
  • Take charge of reservations from first enquiry right through to arrival, making sure every booking is accurate, well organised, and tailored to what the guest actually wants (not just what’s available).
  • Juggle group bookings like a pro, think corporate teams, wedding parties, tour groups, and special events, keeping rooming lists, allocations, deposits, and special requests all perfectly in line.
  • Work closely with group organisers, travel agents, and corporate clients, building great relationships so they keep coming back (and bring their friends).
  • Be the friendly, fast, and helpful voice on calls and emails, turning enquiries into confirmed bookings with ease and enthusiasm.
  • Keep a close eye on room availability and rates, helping the hotel maximise occupancy while still making sure every guest feels looked after.
  • Help guests with special requests, whether it’s extra beds, birthday surprises, or “can we all be near each other in the hotel?” group requests.
  • Team up with front office, revenue, and operations so that group arrivals and individual stays run smoothly from booking to check-out.
  • Handle changes, cancellations, and last-minute group tweaks without breaking a sweat (because there will be a few!).
  • Keep systems clean, accurate, and up to date, because behind every great stay is a very organised reservations team member.
  • Spot opportunities to upsell room upgrades and hotel extras, adding a little sparkle to every booking.

WHAT WE NEED FROM YOU

  • A warm, confident communicator who enjoys talking to people and can build instant rapport on the phone and in writing.
  • Strong attention to detail, you notice the small things others miss, especially when it comes to group bookings and rooming lists.
  • Experience in hotel reservations is a must, with solid hands-on experience managing group bookings (corporate, leisure, tours, or events).
  • Someone who actually enjoys the buzz of group bookings, the bigger and more complex, the better.
  • A natural organiser who can juggle multiple bookings, deadlines, and requests without losing track.
  • A calm, solutions-focused mindset when things change (because in groups, they always do).
