We are looking for an individual with high-level experience of office administration and providing executive support to senior leaders. The ideal candidate will have a proven track record in office management and will be able to demonstrate a positive, proactive attitude. You will be a committed individual, able to multi-task and show strong prioritisation skills in a fast-paced news environment. You will be an effective and compassionate communicator, able to help the team in our newsroom with a wide variety of tasks. You will also help to amplify staff successes, being a bolster to morale and a helping hand for our ambitious newsroom as we continue to grow The I Paper business. The news can sometimes be noisy. But you will remain a voice of calm in our newsroom, ensuring that everything runs smoothly even on the busiest of days. To ensure the editor-in-chief and newsroom have maximum support, this role will be office-based 5 days a week. This role reports directly to the editor-in-chief and works closely with the managing editors.

Key responsibilities

  • Diary management and ad-hoc administrative support for Editor-in-Chief
  • Weekly invoice management across the editorial department, ensuring all contributor payments are approved within deadline and that department trackers are correct and updated
  • Onboarding of new staff and casuals (paperwork, office logistics and IT requirements)
  • Work with the accounts department to ensure all new freelance suppliers sign up to standard terms and conditions
  • Organising press accreditations for sporting, politics and other events
  • Overseeing travel booking requests
  • Handling all new contributor requests (sending out paperwork to freelancers)
  • Expense management for Editor-in-Chief and Managing Editor
  • Organising staff events and Christmas Party
  • General oversight of office environment, including health and safety measures
  • Liaising with IT department to ensure day-to-day needs of our staff are met
  • Co-ordinating logistics for major events and town halls (room bookings, invites and AV support)
