The HR Consultants

Hove, East Sussex (BN3) | Hybrid | Full time, 35 hours

£36,000 to £38,000, up to £40,000 for an exceptional candidate

About the business

A well-established, independent wealth management practice in Hove, looking after clients’ pensions and investments. It’s a small, tight-knit team where people join and stay, and the business is growing. They’re looking for someone with real technical knowledge to help them do it.

The role

This isn’t a standard admin job. You’ll work closely with the advisers and senior team, preparing suitability letters and cashflow models, getting client reviews ready and talking clients through their circumstances before they meet their adviser. You won’t just produce the paperwork; you’ll understand what you’re writing and why.

It’s a small business, so everyone mucks in. Some days that means opening the post, scanning or sorting out a printer. If you’ve worked in a smaller firm, you’ll know exactly what we mean, and you’ll probably enjoy the variety.

What you’ll be doing

Technical

  • Preparing suitability letters and annual review letters
  • Producing cashflow models (for example Voyant or Truth)
  • Preparing client review packs, reports and valuations, and holding pre-review calls with clients
  • Researching fund performance, and running protection and annuity rate comparisons
  • Preparing illustrations and key features documents
  • Processing attitude to risk questionnaires

Client and case management

  • Processing new business applications, paper and online, and chasing cases through to completion
  • Administering fund switches and portfolio rebalances
  • Handling letters of authority and chasing information from providers and platforms
  • Dealing with straightforward client requests yourself, such as updating pension nominations, before passing on anything more complex
  • Keeping the back-office system accurate and up to date
  • Fee and commission reconciliation

Day to day

  • Answering the phones and looking after clients and providers by phone, email and the secure portal
  • Post, scanning, filing and getting meeting rooms ready
  • Mailshots (Mailchimp experience is helpful)
  • Supporting the advisers and paraplanner wherever it’s needed

What you’ll bring

  • At least 3 years’ experience supporting financial advisers in an IFA or financial planning firm. General financial services admin on its own won’t be enough for this role.
  • Hands-on experience of suitability letters and cashflow modelling, either producing them yourself or working closely with a paraplanner on them
  • Good technical knowledge of pensions, investments and protection
  • Confidence talking to clients, and the ability to explain things clearly
  • A sharp eye for detail and comfort working with numbers
  • The ability to juggle a varied workload and reprioritise when the day changes
  • A willingness to roll your sleeves up and get stuck in
  • Certificate level (CII or CISI) or working towards it. If you’re qualified by experience and keen to study, we’d still love to hear from you.

Nice to have

  • Experience of the Quilter and Aviva platforms
  • Intelligent Office, Assureweb and The Exchange
  • Group pension, death in service and income protection administration
  • Experience in a smaller firm
  • Basic IT know-how (printers, network connections and the like)

What’s on offer

  • Salary: £36,000 to £38,000, up to £40,000 for an exceptional candidate
  • Hybrid working: one day from home from day one, rising to two days after probation
  • Development: support to gain further qualifications, and a possible route into advising for the right person
  • Bonus: discretionary bonus, plus paid overtime when it’s busy
  • Pension: more generous than the auto-enrolment minimum
  • Death in service
  • Hours: Monday to Friday, 9am to 5pm, with an hour’s unpaid lunch
  • Team: a friendly, supportive team and regular social events
  • Location: central Hove, with pay and display parking nearby
