As a Groups, Meetings & Events (GME) Planning Executive, you’ll be at the heart of our London cluster’s planning machine - owning the full booking journey across our properties, picking up converted bookings, building lasting client relationships, planning and organising down to the last detail, ensuring every event is seamlessly handed over to our Operations teams and followed up with accordingly. This role primarily focuses on our long-lead business (think annual corporate offsites with months of back & forth, weddings for the big lead up to that special day and everything in between), across all segments. It also requires adaptability on our short-lead business (fast turnaround, rapid conversion) to flex where needed to support that superb handover and delivery. You will also be responsible for our billing account management, ensuring all deposits are received on time and no account left open, along with building relationships with our Operations teams and running weekly meetings to brief them on the upcoming events at their hotel. Above all, you’ll remain flexible and intuitive, following business needs as they evolve, balancing priorities without gaps or excuses.
Responsibilities
- Booking Journey Ownership: Manage bookings from the point of confirmation, to follow up – allowing Ops to do their thing delivering in the gap between handover and follow up.
- Client Service Excellence: Deliver outstanding service through prompt responses, site inspections, hotel tours, and thoughtful follow-ups.
- System Management: Use Delphi & Opera to block space, generate contracts, create function sheets, raise invoices, input room lists, track deposits/payments - all in line with SOPs.
- Short-Lead vs Long-Lead Balance: Flex between urgent, short term bookings and strategic, relationship-led long-term business with equal attention.
- Communication: Build strong relationships with hotel departments and central teams, ensuring smooth operational handovers and flawless execution.
- Revenue Contribution: Feed into upselling for each property, whilst balancing client relations to maximise revenue opportunities at every point of the client lifecycle.
- Cross-Site Support: Conduct site inspections, Ops meetings and ad hoc requests across all London hotels, supporting the wider GME team with proactive sales and ad-hoc projects.
- Operations Handover: Attend and contribute to weekly ops meetings, ensuring all details are communicated and follow-ups are actioned.
- Client Relationships: Prioritise developing client connections to drive loyalty, repeat business, and reputation as the go-to contact for GME in London.
- Culture & Teamwork: Contribute to a positive team culture, collaborate effectively, and bring creativity to problem-solving.
