Responsibilities

  • Ensure the office is kept tidy, organized and well presented.
  • Assist with the staff lunch service delivery, ensuring chefs have up‑to‑date information regarding numbers/allergens, etc., and communicate with third‑party providers as required.
  • Manage stationery and office supplies, ensuring consistent levels of general supplies including refreshments, stationery, handwash and sundries.
  • Manage the supply of official stationery across all Household office sites from specialist suppliers.
  • Monitor, report and address facilities or cleaning issues promptly; manage relations with external stakeholders and suppliers.
  • Ensure meeting rooms are fit for purpose with the required technology support.
  • Assist with planning and execution of in‑house office events.
  • Proactively maintain and develop efficient office processes and systems where necessary.
  • Assist the Office Manager in ensuring Household compliance with Health & Safety regulations, including ownership of First Aid and Fire Marshal provision.
  • Assist with onboarding of new staff, managing H&S and office orientation.
  • Maintain excellent relations with external suppliers, securing the best service levels and reporting any shortcomings.
  • Proactively identify and manage issues before they arise.
  • Support ad‑hoc projects or initiatives to enhance operational efficiency within the Household.

Person Specification – Essential

  • Willingness to “muck‑in” – no job too small or insurmountable.
  • Professional appearance and client‑focused approach.
  • Previous experience in a similar administrative role.
  • Confident and professional communicator: writing, in person and on the phone.
  • Strong IT skills (Outlook, Word, Excel and PowerPoint).
  • Respectful, discreet and tactful with a practical and positive approach.
  • Flexibility and proven ability to work under pressure to meet strict deadlines.
  • Confidence to ask questions when unsure.
  • Self‑motivated, confident and able to work independently while maintaining high standards.

Hours of Work

37.5 hours per week, Monday–Friday, with additional hours as necessary to fulfil duties or meet unexpected requirements.
