This role will allow you the unique opportunity to work across both The Door W4 and the Medispa, within The Hogarth Health Club. We are a long-established family-owned Club, set in two acres of beautiful, secluded grounds right in the heart of Chiswick. The Door W4 is a truly unique health, wellness and aesthetics space, specifically designed to help guests achieve their physical goals and aspirations in total comfort.
About the job
As Receptionist you are the first and ongoing point of contact for The Door W4 and spa clients, ensuring every interaction reflects our premium, personalised, and welcoming ethos. You will create a seamless and uplifting client experience by providing attentive care, accurate information, and smooth administrative support, while also supporting therapists and the wider team to maintain efficient operations.
CLIENT EXPERIENCE
- Ensure all interactions with members, guests and colleagues reflect the Club values – be a brand ambassador.
- Be present and aware of approaching clients as much as reasonably possible.
- Maintain music and atmosphere in the spa.
- Prepare facilities, robes, towels, and refreshments.
- Handle client interactions with due care – provide information, find out answers, or escalate accordingly.
- Invite feedback, signpost methods of contact.
- Maintain excellent personal presentation standards, including always wearing the correct uniform.
ADMINISTRATION
- Monitor and respond promptly to emails and calls.
- Create and update client accounts with accuracy and in accordance with Data Protection policies.
- Process vouchers for external clients in compliance with offer conditions.
- Organise treatment times and slots for spa days, balancing availability for members with client preferences.
- Record treatment notes where required, supporting therapists and maintaining client care continuity.
- Process payments for treatments, packages and retail purchases - promote and upsell where appropriate with client individuality in mind.
- Maintain individual therapist commission spreadsheets, cross-checking data with booking systems to submit accurate records to the Accounts team.
- Place orders with Accounts team or external suppliers.
BUSINESS SUPPORT
- Set up treatment rooms for therapists.
- Perform end of shift safety checks, such as ensuring wax pots and laser machines are switched off.
- Collaborate with the Communications team on promotional materials.
- Liaise between The Door W4 and MediSpa teams to avoid therapist conflicts and ensure smooth operations.
- Internally promote The Door W4 to existing MediSpa clients where appropriate.
- Liaise daily with Front of House and the Duty Manager to communicate items such as staffing, maintenance issues, and ongoing promotions.
- Proactively raise ideas to improve the MediSpa’s overall offering, including operational and aesthetic adjustments.

- Strong organisational skills and attention to detail.
- The ability to multitask and remain calm under pressure.
- Ability to work with computer systems, send emails and manage online bookings.
- Previous reception or hospitality experience is a must.
