We are looking to recruit an enthusiastic and hard-working Receptionist to join our friendly GP Practice team based in Bracebridge Heath, Lincoln.

Main duties of the job

  • Act as a mediator between the clinicians and the patients and as an office organiser who manages the crucial data regarding the health of patients within the practice.
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Our doctors, nurses and all our other staff are dedicated to offering a professional service. We are a well-established practice having served both the Bracebridge Heath and St Catherines areas for many years.

Job responsibilities

  • Receive patients' requests for advice and assistance on the telephone or face to face in a prompt, friendly and efficient fashion.
  • Use the computerised appointments system (awareness of manual systems should the computer go down) to make appointments for patients with the medical staff.
  • Using your own judgment and communication skills, ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
  • Explain practice arrangements for formal requirements to new patients and those seeking temporary cover, including overseas visitors. Ensure procedures are completed.
  • Advise patients of relevant charges for private (non General Medical Services) services, and deal with payments according to practice procedure.
  • Enter requests for home visits into the visits section of the computer system stating all relevant information, and where necessary inform the doctor.
  • Ensure accurate message taking for GPs and Nurses and communicate effectively.
  • Ensure that repeat prescriptions are prepared and ready for collection within two working days.
  • Regular daily checking of emails and the internet order line.
  • Ensure reception and waiting areas are kept neat and tidy. Waiting room displays should be up to date and reviewed on a regular basis for good patient communication.
  • Service refreshments and prepare for meetings, when required.
  • Report any significant events, incidents and complaints to the Practice Manager, following practice protocols.
  • Photocopying and emailing of information as necessary to support the administration of the practice.
  • Ensuring stationery levels are maintained and shortfalls reported to the Practice Manager.
  • Any other duties fitting of this post.

Management of Appointment System

  • Ensure total familiarity with the appointment systems including regular and incidental variations.
  • Book appointments and recalls ensuring sufficient information is recorded to retrieve the medical record.

Start and end of the Day Procedures

  • Open up premises at start of day and make all necessary preparations to receive patients. This includes switching on the check-in screen and PowerPoint presentation on the television.
  • At the end of day, switch off check-in screen, television presentation and ensure the building is secured and lights off. The burglar alarm must be set before leaving. Security procedures must be followed to secure reception office and building.
  • Monitor the effectiveness of the computer system and report any problems or variations to the Practice Manager.

Experience

  • Previous experience of using SystmOne Clinical System.
  • Comfortable and experienced in using Windows based programmes.
  • Confident in the use of Word/Excel.
  • Previous experience working as GP Receptionist.
