Join Us for Something a Little Wild! Love weddings? Love people? Got a natural flair for sales? Then we want to meet you! We're looking for an enthusiastic, creative and commercially minded Wedding Venue Coordinator to join our team at Wild at Heart Tipi Weddings. Nestled within the beautiful grounds of the Heart of England estate, just outside Coventry, Wild at Heart Tipi Weddings is an exciting new wedding brand preparing for its official launch.
With an established venue, a fresh new identity and exciting plans ahead, we're looking for someone who wants to be part of the journey from the very beginning. Think relaxed luxury, festival-inspired celebrations, beautiful countryside surroundings and unforgettable weddings with a little extra personality! This isn't just about organising weddings. It's about creating connections, delivering incredible experiences, driving bookings and making wedding dreams come true.
Your Role – Where the Magic Happens!
As our Wedding Venue Coordinator, you'll be at the heart of our wedding sales and coordination journey. From the moment a couple first gets in touch to the excitement of their wedding day, you'll be their friendly face, trusted adviser and dedicated point of contact. You'll take ownership of the entire wedding journey – from the initial enquiry, show rounds and securing the booking, through to planning, coordinating and being there in person on the wedding day itself.
Key Responsibilities:
- Manage incoming wedding enquiries via telephone, email, WhatsApp, website and social media.
- Respond promptly, professionally and personally to prospective couples, creating a fantastic first impression.
- Conduct engaging, inspiring and memorable venue show rounds, showcasing everything Wild at Heart has to offer.
- Build genuine relationships with couples, understanding their vision, priorities and wedding dreams.
- Prepare personalised wedding proposals, quotations and packages.
- Proactively follow up enquiries and viewings, turning interest into confirmed bookings.
- Take ownership of your sales pipeline and work towards agreed booking and revenue targets.
- Maintain accurate customer records, enquiries and sales activity using our CRM system, HubSpot.
- Identify opportunities to maximise wedding bookings and additional revenue.
Wedding Planning & Coordination:
- Build strong, lasting relationships with couples throughout their wedding planning journey.
- Be their dedicated point of contact, offering advice, reassurance and inspiration along the way.
- Guide couples through venue options, food and drink, accommodation and all those special wedding details.
- Liaise with internal teams, caterers and external suppliers to ensure everything runs smoothly.
- Be present and actively involved on the wedding day itself, working alongside the operational team and suppliers to oversee arrangements, support the couple and help ensure everything runs smoothly.
- Coordinate wedding arrangements and ensure accurate communication and handovers to the operational team.
- Maintain exceptional customer service standards from the first enquiry through to the big day.
- Help ensure every couple enjoys a seamless, personal and unforgettable experience.
Marketing, Events & Growing the Brand:
- Play an exciting part in the launch and development of Wild at Heart Tipi Weddings.
- Bring fresh ideas, creativity and enthusiasm to help promote the venue.
- Support wedding open days, showcases, supplier events and promotional activities.
- Assist with creating engaging social media content and capturing those special venue moments.
- Build relationships with wedding suppliers, photographers, planners and other industry professionals.
- Identify opportunities to generate new enquiries, increase bookings and raise awareness of the venue.
- Help develop and improve the overall couple experience.
We're not looking for someone who simply ticks boxes. We're looking for someone with personality, passion and plenty of get-up-and-go!
You’ll ideally be someone who:
- Absolutely loves weddings, hospitality and creating memorable experiences.
- Is warm, friendly, confident and naturally brilliant with people.
- Has a genuine passion for sales and gets a buzz from securing bookings.
- Is an excellent communicator who can build rapport effortlessly.
- Is highly organised, proactive and comfortable juggling multiple priorities.
- Has a creative eye and an appreciation for beautiful, individual weddings.
- Is self-motivated, ambitious and excited about helping a business grow.
- Can work independently while being a fantastic team player.
- Is confident using email, digital platforms and CRM systems.
- Has previous experience in wedding sales, venue coordination, hospitality or a customer-facing sales role.
- Previous wedding industry experience would be a bonus, but we're equally interested in someone with the right personality, commercial drive and a genuine passion for what we do.
Above all, we want someone who brings energy, enthusiasm and ideas to the table – someone who treats every enquiry as an opportunity and every couple like they're our only couple!
£27,000–£30,000 basic salary, depending on experience. Performance-related bonus with the opportunity to earn more through successful wedding sales. Flexible full-time working arrangements. The chance to be part of an exciting new wedding brand launch. A beautiful countryside working environment. A varied role combining weddings, sales, creativity and customer relationships. The freedom to bring fresh ideas and help shape the future of the venue. A supportive team and an established hospitality business behind you. The opportunity to make a real difference to couples during one of the most exciting times of their lives.
- Weddings don't always happen between 9 and 5, and neither do we! You'll need to be flexible and happy to work a combination of weekdays, evenings and weekends, depending on venue viewings, weddings and business requirements.
- You will be required to attend and work at the weddings you have coordinated, seeing each couple's journey through from their first enquiry to their special day.
- In return, we offer a flexible working approach, with working patterns planned around business needs and time off in lieu where appropriate.
- Some administrative work may be undertaken remotely, subject to operational requirements.
- Ideally, you'll live within approximately 30 minutes' driving distance of the venue, allowing you to attend show rounds, meetings and events flexibly.
- A full UK driving licence and access to reliable transport are required.
