We're looking for a reliable and organised individual to join our team as a Post Room Assistant. This is a great opportunity for someone who enjoys working in a busy environment and takes pride in delivering an efficient and professional service.

You will provide an incoming postal service on behalf of the Council. Administer the Authorities electronic document management system in accordance with legislation & guidelines. Be responsible for daily scanning, indexing and electronic transfer of documents for the Council and external partners. This role is exempt from the Rehabilitation of Offenders Act 1974 and therefore subject to an enhanced DBS certificate. What will you be doing?

  • You will work as part of the Post Room Team to undertake duties such as post opening, sorting and electronic delivery.
  • Maintaining the Authorities electronic filing system accurately while adhering to Data Protection legislation.
  • Scanning incoming correspondence and attaching their digital images to existing records or creating new accounts as appropriate on the Civica EDRMS.
  • Adhere to all security protocols within Authority buildings and grounds.
  • To undertake any other duties commensurate with the position as designated by the line manager.

About You

You’ll need a good standard of education, including GCSE English (or equivalent), alongside strong verbal and written communication skills. Previous experience within a post room environment and experience using electronic document management systems would be advantageous. We’re seeking someone with an understanding of health and safety requirements, experience of manual handling, and confidence using Microsoft Office applications, including Outlook, Word and Excel. You should be a team player with a practical, flexible approach to work, capable of meeting deadlines and maintaining high standards. The role requires the ability to lift and move items weighing up to 11kg, as well as a commitment to providing a trustworthy, reliable and customer-focused service.
