Grove Surgery has an opportunity for an Administration Manager to join our busy practice support team and assist in the smooth delivery of excellent patient care. This role is offered on a full‑time basis (37.5 hours per week).

Responsibilities

  • Supporting the Practice Manager in the day‑to‑day operations of the practice, ensuring staff achieve their primary responsibilities.
  • Providing leadership and guidance to staff, ensuring they always adhere to policy and procedure.
  • Line manager to the administration team.
  • Providing first‑line support to all staff to promote excellence in customer service.
  • Deputising for the Patient Services and Quality Manager when absent and supporting the reception team.
  • Supporting colleagues in dealing with difficult or unpleasant patients or situations.
  • Ensuring compliance with CQC regulations and standards.
  • Reviewing and regularly updating job descriptions and person specifications, ensuring all staff are legally and gainfully employed.
  • Evaluating, organising, and overseeing the staff induction programme for the administration team, medical students and doctors in training.
  • Maintaining updates to the website and social media.
  • Supporting the Complaints Lead to ensure patients have their concerns listened to and investigated, responding appropriately and timely according to policy.
  • Lead contact for our patient participation group, attending meetings and building relationships with members of the PPG.
  • Managing the significant event database, providing advice to staff and briefing the team at meetings as required.
  • Supporting the Assistant Practice Manager in identifying trends and devising solutions to reduce risk and repeated occurrences of significant events.

Qualifications

  • A relevant qualification in business management, or equivalent qualification or experience (A‑level standard or equivalent experience).
  • Detailed and up‑to‑date knowledge of employment legislation and experience in managing a diverse workforce.
  • Prior experience of leadership and personnel management, ideally within a healthcare setting.
  • Self‑motivated, with a forward‑thinking, solution‑focused approach.
  • Ability to develop, implement and embed policies, procedures and guidelines.
  • Experience of working in an ever‑evolving environment, with the ability to cope with regular change.
  • Excellent organisational, management and planning skills, IT skills and communication skills.
  • Ability to identify training and development needs in self and others, as well as experience of appraising staff.
