Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way. Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone. Please note: We are looking for someone to work 25-30 hours per week, only afternoons and to finish at 18:30 most days.
Main duties of the job
- Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
- Deal with all general enquiries, explain procedures and make new and follow-up appointments.
- Using judgement and communication skills ensure that patients with no prior appointment are guided to complete the appropriate in-line forms to seek the correct medical advice and support. Assess and escalate where appropriate.
- Explain practice arrangements and formal requirements to new patients registering and those seeking temporary cover and ensure all information required is provided in a legible format.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Assist when necessary with the processing of repeat prescription requests.
- Prepare lists and notes for all surgeries and clinics held, ensuring completion of all associated paperwork.
- Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same.
- Enter accurate patient consultations and information on to the computer as required.
- Retrieve and re-file records as required in the filing room, ensuring strict alphabetical order is adhered to.
- Ensure correspondence, reports, results etc. are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
- Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
- When receiving completed forms (new registrations, consent forms SARs etc) ensure that all blanks are filled in and correct patient details added.
- Assist with the management of NHS email and Docman ensuring anything urgent is highlighted to the Duty Doctor or assigned GP.
- Open up premises at the start of the day when first to arrive and make all necessary preparations to receive patients.
- When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and side gate locked.
- Undertake any other additional duties appropriate to the post as requested by the Partners or the Reception Manager to include but not restricted to cancel clinics, rebook appointments, review incoming post, record and send samples for investigation.

Grove Medical Centre is a GP practice located in a residential area of Egham. The practice provides GP services to 15,500 patients. Services are provided from one location: Grove Medical Centre - The Grove, Church Road, Egham, Surrey TW20 9QN. There is a team of 3 GP partners, 7 salaried GPs (male and female). The practice is also a training practice for doctors. Training practices help qualified doctors, known as registrars, complete the final stages of their GP training. The practice also provides training for nurses and paramedic practitioners. The practice has a team of 3 nurses who provide nurse-led clinics and 5 healthcare assistants. The practice is supported by 3 clinical pharmacists and a Physician Assistant who were employed by the Primary Care Network SASSE 2. GPs and nurses are supported by the practice manager, operations manager, team leaders and a team of reception, administration staff and care coordinators. Grove Medical Centre is open 8am to 6.30pm Monday to Friday. The practice is part of a hub of GP practices which provides extended access appointments for patients during the week until 8pm and at weekends. Patients are able to access Out of Hours services through NHS 111.
