The Role

This is a central, high-responsibility coordination role. You will be responsible for planning, scheduling and organising training programmes across multiple clients, formats and locations. You’ll work closely with trainers, clients and internal teams to ensure training is delivered smoothly, efficiently, and to a high standard. This is a fast-paced role requiring strong organisation, attention to detail and the ability to manage multiple priorities at once.

Key Responsibilities

  • Training Planning & Scheduling
    • Plan and schedule training sessions across multiple programmes (classroom and online)
    • Coordinate trainers, venues, clients and delivery formats
    • Manage forward planning calendars and training schedules
    • Ensure trainer availability, capacity and logistics are aligned
    • Organise UK-wide (and occasionally international) training delivery
  • Coordination & Communication
    • Act as the main point of contact for training coordination queries
    • Liaise confidently with clients, trainers and internal stakeholders
    • Confirm bookings, logistics and requirements with all parties
    • Maintain strong, professional relationships across the network
  • Administration & Records
    • Create and manage training registers and attendance records
    • Maintain accurate and up-to-date records across all programmes
    • Manage certification and post-training administration
    • Ensure all documentation is organised and filed
  • Systems & Process Management
    • Use Microsoft Office / Office 365 (especially Excel) to manage schedules and data
    • Work with booking systems, spreadsheets and internal tools
    • Follow established processes while identifying improvements
    • Maintain consistency and quality across training delivery
  • Team Support
    • Work closely with training and operations teams to ensure smooth delivery
    • Provide cover and support across planning activities when required
    • Contribute to continuous improvement of internal processes

What We’re Looking For

  • Proven experience in a training coordination, scheduling, events or similar role
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent communication skills (written and verbal), including phone calls with clients, trainers, suppliers and other stakeholders
  • Versatility to adapt communication style in an inclusive and person-centred approach
  • High level of attention to detail and accuracy
  • Confident working with schedules, data and administrative systems
  • Strong IT skills, particularly Microsoft Office / Office 365 (Excel essential)
  • Reliable, proactive and able to work independently in a busy environment
  • Experience coordinating training across multiple locations
  • Experience working with external trainers or facilitators
  • Familiarity with booking systems or CRM tools
  • Experience in education, L&D, or professional training environments
