The Opportunity

The Go-Ahead Group is seeking a highly organised and detail-oriented Project Administrator to join our Business Services/Property team. This role is crucial to ensuring the smooth running of our property services operations. You will be responsible for handling purchase orders (POs), managing property services administration, and ensuring timely payments for services rendered. Your attention to detail will be key as you track and manage invoices to guarantee they are processed and paid in accordance with timescales. This is a 12 month FTC**

Principal Accountabilities

  • Create, track, and manage purchase orders, ensuring all requests are processed efficiently and in line with company procedures.
  • Provide general administrative support relating to the building, ensuring all documentation and records are up to date and accurately maintained.
  • Monitor and track invoices for property-related services, ensuring timely approval and processing to meet payment deadlines.
  • Coordinate with finance to ensure payments are made promptly, resolving any discrepancies or issues related to invoices or payment processing.
  • Maintain accurate records of all property services transactions, providing regular updates and reports to management on the status of orders, invoices, and payments.
  • Liaise with internal teams, contractors, and suppliers to ensure smooth communication and resolution of any issues related to purchase orders, invoices, or payments.

Knowledge & Experience

  • Proven experience in an administrative role
  • Familiarity with invoice tracking, payment processes, and basic financial administration.
  • Strong attention to detail with excellent organisational skills, capable of managing multiple tasks and priorities in a fast-paced environment.
  • Effective verbal and written communication skills, with the ability to liaise with internal teams and external contractors.
  • Competent in using Microsoft Office Suite, particularly Excel, and experience with accounting or invoicing software is desirable.
  • A collaborative approach to working with different departments, fostering a positive and efficient work environment.
