The Global Institute on Innovation Districts (GIID) is seeking a self-directed and technology-savvy Admin Assistant to predominantly support its President in elevating GIID to its next level of success. We are a group of dedicated researchers and practitioners ambitiously working together to help take on some of the world’s most daunting challenges through place-based innovation, known as innovation districts. Our work involves advising, connecting, and advancing innovation districts around the world—some of the smartest places on the planet that have the capacity to take on complex challenges, such as climate change, cancer, and infectious diseases.
We are seeking an independent, highly-organized and detail-oriented self-starter to join us and help us revolutionize the way we organize ourselves for impact. As Executive Assistant, you will work strategically with the President to advance efforts that not only strengthen partnerships and programs but reach new investors to support innovation districts worldwide.
Key responsibilities- Time management and organizational support
- Schedule meetings and manage the calendar of the President.
- Travel and logistical support for the President (travel is often once a month).
- Travel and logistics for the team (travel for one person could be once a month).
- Active recruitment for a new leadership position, working with the President.
- Fundraising development
- Logistical support in the preparation of fundraising activities.
- Manage follow-up activities and track engagement with prospective and existing funders.
- European development strategy
- Gather and advance relationships with additional districts in Europe to accelerate Network and event.
- Schedule meetings in Brussels with districts to GIID’s reach with districts in Europe.
- Coordinate high level logistics to support a convening in Brussels with districts and the EU.
- At least three years of experience in providing advanced or administrative support in a fast-paced environment.
- Experience working with senior leaders.
- Strong organizational skills with the ability to manage multiple projects and competing timelines.
- Demonstrated problem-solving ability and strong attention to detail.
- Excellent written and verbal communication skills, with the ability to communicate effectively with an international audience.
- Experience working in nonprofits, start-ups, or mission-driven organizations is preferred.
- Experience working with distributed or global teams.
- Proficiency in Microsoft Office Suite (especially Excel and Word).
- Experience with project management tools such as Asana.
- Familiarity with Airtable or other database platforms.
This is a remote contract position. Compensation is based on experience. The position is for someone based in Europe, with approximately 20% of work occurring outside normal business hours due to the global nature of the organization. Candidate must be authorized to work in their location.
