Position Summary
The Clinic Manager is responsible for the day-to-day running of the clinic, covering two buildings: 11 Kendrick Road & 23 Craven Road.
- Line managing the admin team, fostering clinical and organisational excellence.
- Working alongside the Lead Nurse and Billings Manager to ensure all services are working collaboratively with one aim.

- Excellent interpersonal and organisational skills.

- Ability to work under pressure and plan strategically while coping with day-to-day problems.
- Experience of staff management.
- Sound computer skills using MS Office Suite and web-based systems.
- Numerate, able to analyse, interpret and utilise data to improve performance.

Specific Tasks
Management of Staff
- To oversee the normal efficient working of the clinic.
- Provide a full range of personnel management services: inductions, training, welfare, health and safety, 1-2-1's, performance goal setting and evaluation, and delegation of workloads for all members of the admin team.
- To work alongside the Compliance and HR Manager with regards to recruitment, selection, discipline and grievance procedures.
Clinic Development
- To work alongside the admin team to find ways of improving the service to ensure it is running efficiently.
- Introducing new services, specialities, consultants and making improvements to the patient management system.
- Help support marketing campaigns and raising awareness of new clinical services.
Practice Organisation
- Plan, co-ordinate and monitor staff activities to ensure efficient service to patients and support to consultants.
- Oversee staff rotas and monitor effectiveness and adequacy of cover.
- Work with lead nurse on matters of clinical importance, especially infection control.
- Work in conjunction with the Facilities Management company to help arrange annual/other service visits for PAT testing, utility serving, lift maintenance etc.
- Arrange monthly admin meetings to provide updates and discuss ongoing administrative matters.
- Work with third-party providers to ensure cross care and best patient outcomes.
Health and Safety
- Ensure all accidents or dangerous incidents are investigated, recorded, reported to the Compliance & HR Manager and followed up.
- Carry out all necessary H&S audits and carry out any actions that arise from them.
Management of Premises
- Ensure maintenance issues are reported to the facilities management company and action any immediate work to maintain a safe working environment.
- Carry out 6 months fire drills to maintain fire safety.
- Ensure cleaning standards are maintained and any issues reported to the cleaning contractor.
IT and Telecom Services
- Developing reporting and management of phone usage to hit KPIs.
- Using a CRM, provide reporting and data to help monitor enquiries and performance and use it to monitor performance.
- Troubleshoot issues with assistance from IT.
Finance
- Work with the Finance and Billing manager to ensure fees are being monitored and yearly budgets for maintenance work are kept.
- Maximise income and control costs as part of the management team.
Other
- Deal with enquiries and complaints from patients effectively and efficiently to promote patient satisfaction, liaising with clinical staff and consultants as necessary.
- Act as part of the management team alongside the consultant directors and together with them, plan, develop and implement any changes necessary to meet new demands on the clinic both internally and externally.
- Manage the clinic according to the vision and mission statements agreed with the directors and approved by them.
Education and Training
- Participate in ongoing training and development both in-house and externally.
- Developing strategies for the clinic on issues such as computer systems and cyber security.
