Role Overview: We are looking for a highly organised and detail-oriented Production & Buying Admin Support to join the team on a 4-month temporary contract. This is a hands-on operational role supporting the Production and Buying function across NetSuite administration, post and logistics coordination, and shoot sample preparation. The role requires excellent attention to detail, strong communication skills with suppliers, and confidence managing high-volume administrative processes across multiple factories and suppliers.
Key Responsibilities:
- NetSuite Administration
- Create and send PO PDFs across the following suppliers: Fully Factored HS, Chinasilk, Sungin, GP, Erius, Ozgur, Turkishtex, Zevigas, CBI, NST, Katleya, Priority Seasons, and Calvalex
- Process PO amends for HS, Chinasilk, Sungin, GP, Erius, Ozgur, Turkishtex, and Zevigas
- Complete product uploads for the whole department
- Act as master data checker for the whole department, reconciling the range plan against NetSuite and reporting discrepancies
- Manage barcodes and stickers for all suppliers
- Post & Logistics
- Handle all incoming and outgoing post for Head Office, as well as on behalf of factories (ISE, Fashion Lab, Mantra)
- Update and maintain the fit list priority list
- Manage DHL enquiries and follow-ups for shipments held in customs
- Shoot Sample Preparation
- Chase suppliers for outstanding samples
- Order samples from store/warehouse, or request samples back from suppliers, ahead of shoots
Key Working Relationships:
- Works closely with the wider Production and Buying team, including Kasia, who retains responsibility for CMT dockets and PO creation/amends for Fashion Lab, ISE, Mantra, CBI, NST, Katleya, Priority Seasons, and Calvalex
- Liaises directly with suppliers and factories on order and sample queries
- Coordinates with logistics providers (DHL) on customs and shipment issues
About You:
Essential:
- Previous administrative experience within a production, buying, or merchandising environment
- Working knowledge of NetSuite (or a comparable ERP/PLM system)
- Strong Excel skills and comfort working with data reconciliation/reporting
- Highly organised, with excellent attention to detail and ability to manage a high volume of tasks accurately
- Confident, professional communicator, comfortable liaising directly with suppliers and internal stakeholders
- Able to work independently and prioritise across competing deadlines
Desirable:
- Experience working with overseas suppliers/factories
- Familiarity with shoot/sample process within a fashion or retail business
- Experience handling customs/logistics queries
