Job Purpose
We are seeking an organised and proactive MIS Administrator to provide maternity cover within our MIS team. The role will provide operational and administrative support across the organisation, supporting staff as required and ensuring compliance with ESFA funding documentation. A DBS check will be required.
Key Duties and Responsibilities
- Provide administrative support to all necessary staff.
- Log, update, and file learner and employer documentation accurately and within required timescales.
- Process monthly starts and achievers, ensuring final paperwork is checked and uploaded to the MIS system.
- Accurately record all contact with learners and employers on the MIS system.
- Ensure all enrolments are entered onto the MIS system each month, including timetabling of functional skills and registers.
- Maintain and update the OTJ (Off-the-Job) tracking spreadsheet.
- Carry out weekly filing and documentation updates.
- Action ad hoc administrative letters and forms, including action letters, suspension forms, CHOC forms and any other paperwork.
- Check and update outstanding paperwork lists monthly.
- Invigilate exams and reception cover within the centre when required.
Knowledge and Experience
- Educated to GCSE standard or hold a relevant administration qualification.
- Experience using Microsoft Office and general office systems.
- Familiarity with Management Information Systems (MIS) is desirable.
- Strong attention to detail and ability to manage multiple tasks efficiently.
General Duties
- Demonstrate flexibility and adaptability to meet changing organisational needs.
- Undertake additional training or duties as required by the line manager.
