A bit about what you will be doing

The Membership Coordinator will support the Head of Membership with the day-to-day administration and coordination of the Bluebird Club membership.

The role will be responsible for ensuring membership administration, member requests, bookings, events and internal coordination are managed efficiently and accurately, allowing the Head of Membership to focus on membership growth, retention, partnerships, business development and member relationships.

Key Responsibilities

  • Membership Administration
  • Maintain accurate and up-to-date membership records and databases.
  • Process new memberships and renewals.
  • Ensure new members are correctly set up across all relevant membership systems.
  • Support the onboarding of new members, including sending welcome information and membership benefits.
  • Monitor membership expiry and renewal dates.
  • Send renewal reminders and follow up outstanding information or payments.
  • Maintain accurate records of membership payments and membership status.
  • Prepare membership lists and reports when required.
  • Member Support
  • Support the Head of Membership with day-to-day member enquiries.
  • Monitor the membership inbox and respond to routine requests.
  • Assist with member Whats App communications and enquiries.
  • Provide members with information regarding benefits, events, facilities and partner offers.
  • Follow up member requests and ensure they are completed.
  • Escalate complaints, sensitive matters and important member issues to the Head of Membership.
  • Member Bookings & Requests
  • Coordinate restaurant reservations for members.
  • Assist with hotel reservation requests and member rates.
  • Coordinate meeting-room requests and bookings.
  • Assist with private dining and event enquiries.
  • Liaise with the relevant internal teams regarding member requests.
  • Maintain records of member bookings and ensure requests are followed through to completion.
  • Events
  • Support the administration of the Bluebird Club events calendar.
  • Prepare and maintain event guest lists.
  • Manage RSVPs and plus-one information.
  • Send event invitations, confirmations and reminders.
  • Collect dietary requirements and other guest information.
  • Follow up members regarding attendance and payments where required.
  • Liaise with internal teams to ensure accurate guest information is communicated before events.
  • Support the Head of Membership during member events when required.
  • Update attendance records following events.
  • Membership Communications
  • Assist with member emails and regular communications.
  • Support the preparation and distribution of newsletters.
  • Prepare Whats App communications regarding events, offers and membership updates.
  • Keep event, benefit and partner information up to date.
  • Partnerships & Member Benefits Administration
  • Maintain an up-to-date database of membership partners and benefits.
  • Ensure partner offers, discount codes and terms are accurately recorded.
  • Support the Head of Membership with the administration of new partnerships.
  • Respond to routine member questions regarding partner benefits.
  • IAC & Membership Benefits
  • Support members with International Associate Clubs (IAC) enquiries.
  • Provide information regarding how members can access reciprocal clubs.
  • Assist members with membership benefit enquiries.
  • Maintain accurate information regarding current Bluebird Club benefits and facilities.
  • Reporting & Data
  • Maintain membership trackers and administrative reports.
  • Support monthly reporting on new memberships, renewals, retention and membership numbers.
  • Assist with tracking member engagement, event attendance and member activity.
  • Support the Head of Membership with information required for management reports.
  • Internal Coordination
  • Act as a point of contact between Membership and relevant internal departments for routine requests.
  • Ensure member requests and agreed arrangements are communicated accurately to the relevant teams.
  • Follow up outstanding actions internally.
  • Help ensure membership benefits and procedures are understood and correctly applied across the business.

Skills & Experience

  • Highly organised with excellent attention to detail.
  • Strong administrative and coordination skills.
  • Confident communicating with members and internal teams.
  • Excellent written and verbal communication skills.
  • Comfortable managing multiple requests and priorities at the same time.
  • Strong Microsoft Office skills, particularly Excel, Outlook and Power Point.
  • Experience using the Open Table reservation system would be beneficial.
  • Experience using CRM or membership management systems would be beneficial.
  • Experience within hospitality, private members' clubs, luxury lifestyle, hotels or customer service would be advantageous.
  • Professional, discreet and comfortable dealing with high-profile and VIP members.
  • Proactive and able to take ownership of tasks through to completion.
