THE ROLE
We are seeking a highly organised and innovative Event Project Manager to join our dynamic team. The successful candidate will be responsible for the full lifecycle of event delivery from ideation and proposal development to on-site execution and post-event evaluation. This role requires exceptional communication skills, strong commercial awareness, leadership, and the ability to manage multiple projects in a fast-paced and evolving environment.

KEY RESPONSIBILITIES:

  • Event Planning & Production
    Lead end-to-end event planning, covering concept creation, scheduling, venue sourcing, and full logistical coordination. Oversee transport, travel arrangements, catering, equipment, staging, staffing, and post-event breakdown/disposal procedures. Conduct site visits and create detailed event plans, production schedules, and floor plans.
  • Delegate & Registration Management
    Manage all delegate communication and registration processes. Work with registration platforms, apps, and CRM systems to optimise attendee experience and data accuracy.
  • Proposal & Tender Support
    Assist the accounts team with proposals and tender responses, project plans, and creative concepts to win new business. Negotiate with suppliers and partners to secure competitive pricing and added value. Collaborate with the sales team to refine proposals in line with client objectives.
  • Budget & Financial Management
    Build and manage comprehensive event budgets. Track expenses, process supplier invoices, ensure cost control, and deliver events within financial parameters. Provide financial reporting and post-event reconciliation.
  • Client Liaison & Account Management
    Serve as the primary point of contact for clients throughout the project lifecycle. Develop strong, long-term client relationships and deliver exceptional customer service. Conduct regular progress meetings and provide timely updates.
  • Team Leadership & Vendor Coordination
    Clearly delegate tasks, manage timelines, and oversee production partners, AV teams, caterers, and venue staff. Foster a collaborative and high-performing team environment both in the office and onsite.
  • Marketing & Communications
    Support clients with event marketing activities including social media campaigns, email communications, and event content creation. Work with design and marketing teams to ensure event branding is consistent and engaging.
  • On-Site Event Management
    Oversee all on-site operations, ensuring smooth event delivery and positive attendee experience. Troubleshoot issues quickly and effectively while maintaining professionalism. Monitor event performance and adherence to timelines, run sheets, and safety plans.
  • Risk, Compliance & Health & Safety
    Develop and manage detailed risk assessments, safety plans, and compliance documentation. Ensure appropriate emergency procedures and safeguarding measures are in place. Maintain knowledge of industry legislation, GDPR requirements, and relevant health & safety standards.
  • Post-Event Reporting & Continuous Improvement
    Conduct post-event evaluations and debriefs with clients and internal teams. Analyse guest feedback, performance metrics, and ROI to drive improvements for future events. Maintain accurate records, insights, and case studies.
  • Technology & Digital Event Management
    Utilise event management software, CRM tools, AI tools, and project management platforms. Support virtual, hybrid, or digitally led event components where required. Ensure high-quality execution of AV and technical elements, bringing in the right support to meet the needs of clients.

THE IDEAL CANDIDATE
Proven experience in event or project management, delivering conferences for multinational organisations, and at least five years of account management experience. Strong organisational skills with the ability to prioritise multiple projects simultaneously. Excellent verbal and written communication skills. Strong leadership and team coordination abilities. Proficiency in budget creation, cost tracking, and financial reporting. Experience using event platforms (registration tools, CRM systems, apps). Full driving license.

Desirable Skills:
Experience liaising with AV, staging, and production companies. Creative problem-solving and ability to think strategically under pressure. Familiarity with industry compliance standards, GDPR, and insurance requirements. Understanding of sustainability practices in event management. Proficiency in project management tools. Experience working on international events or incentive travel.

Salary:
From £35k per annum plus bonus

Benefits:
