About The Role

This is an exciting and varied role supporting the Ecology team providing coordination and administration support to help secure new work. Working in a fast-paced environment, you will help ensure bids, quotations and tender submissions are produced to a consistently high standard, accurately presented, and submitted on time. Ideal for a highly organised individual with strong attention to detail who enjoys operating at a fast pace and working collaboratively within a dynamic team. The role focuses on managing the EcoQuotes process.

You will act as the first point of contact for ecology enquiries, liaising with clients to obtain the information required to understand their requirements before coordinating inputs from technical colleagues. You will maintain clear and accurate records, interpret client requests, and help keep the bid pipeline running smoothly by tracking actions, chasing information and supporting the submission of bids, quotations and tenders efficiently, to agreed deadlines and to a high standard.

What Youll Be Doing

  • Administer the EcoQuotes process from initial enquiry through to quotation submission
  • Manage the EcoQuotes inbox and identifying new enquiry opportunities for the Ecology team
  • Ensure enquiries are acknowledged and that the Ecology Assistant Team Managers (ATM) and/or relevant project leads are notified within agreed timescales
  • Liaise with clients to obtain and clarify information required to determine the scope of requested ecological services and enable effective quotation preparation
  • Gather and present enquiry information to support bid/no-bid decisions, liaising with Assistant Team Managers and relevant technical staff
  • Coordinate the preparation and submission of ecology quotations, including setting up documents and ensuring consistency with client requirements
  • Maintain accurate and up-to-date records of enquiries and quotations within an internal tracking system
  • Coordinate quotation production across a range of ecological specialisms by liaising with authors, reviewers and approvers to ensure delivery to agreed timescales
  • Monitor progress of quotations and highlighting any risks to delivery timescales and agree revised timeframes where required
  • Finalise and issue quotations to clients in a professional and timely manner
  • Support the preparation and submission of ecology tenders and larger bids and working with TEP Tender Administrator where required
  • Respond to client and tender correspondence in a professional manner
  • Ensure all submissions are completed and issued in line with deadlines and to a professional standard
  • Any other reasonable tasks and responsibilities as required.
