About the role
The Ecology Administrator will play a crucial role in supporting the Ecology Team in the delivery of the creation and management of Habitat Banks on a national basis. Reporting to our Ecology Director, the Ecology Administrator will be responsible for the organisation of key in‑person events throughout the year, will organise and minute key leadership and stakeholder meetings, will support across the team on logistics and administrative tasks and will update and maintain the internal intranet site. The role requires effective organisation, time‑management, communication, collaboration with internal teams, and engagement with external stakeholders such as Responsible Bodies, charity organisations and Natural England. The role is hybrid and location will be primarily York but Bristol or London will also be considered. Alongside this you would attend in‑person whole team meetings and whole business meet‑ups alternating on a quarterly basis and in‑person leadership/management team meetings once a quarter.
Responsibilities
- Organise conference attendance and training for the team
- Organise team PPE
- Support in setting up and taking minutes for key leadership meetings and following up actions
- Book hire car and hotels for group bookings
- Support logistics/travel arrangements during survey season
- Manage Ecology team resource planner – making sure everyone is keeping it updated
- Manage the Ecology intranet space
- Complete POs for team for soil testing, desk study records and specialist contractor input at design
- Organise the annual company Habitat Bank site visits (4 per year)
- Organise two whole team get‑togethers a year and four management/leadership in‑person meetings a year
- Organise specific days run for stakeholders e.g. the Natural England Day at HARR09 last year
- Other general secretarial support for the team
Qualifications
- Experience of working in the environmental sector would be advantageous
- Excellent communication skills both verbal and written, including the ability to engage with diverse stakeholders
- Organised and self‑starting, capable of managing personal schedule, maintaining records and prioritising tasks effectively
- Willingness to travel for regional site visits and events
- Proficient in Microsoft Office suite, including Word, PowerPoint and Excel
- Understanding of local record centres and how to access information would be advantageous but not essential
- Numerate and computer literate with an understanding of data analysis and manipulation
