Reporting to the Director of Sales, London, the Meetings & Events Sales Coordinator will play a pivotal role in supporting the Meetings & Events Sales team across The Marylebone, The Bloomsbury and The Kensington.
This role is responsible for coordinating enquiries, managing sales administration and systems, supporting business development initiatives, and ensuring seamless communication between clients, the sales team, and hotel operations.
The successful candidate will help maximise revenue opportunities, deliver exceptional customer service, and ensure the smooth day-to-day operation of the M&E Sales function across the London hotels.
Role responsibilities
- Coordinate and distribute incoming Meetings & Events (M&E) enquiries to maximise sales opportunities across three luxury hotels.
- Support the M&E Sales team with lead generation, business development, and identifying new sales opportunities.
- Manage the Meetings RFP process and third-party booking platforms, including CVENT and Venue Directory.
- Schedule and coordinate site inspections, familiarisation trips, trade shows, sales missions, and industry events.
- Maintain accurate records and updates within Opera Sales & Catering and reservation systems, ensuring GDPR compliance.
- Produce and distribute daily function sheets and event information to relevant departments in a timely manner.
- Monitor enquiry response times, ensuring excellent customer service and client communication within agreed deadlines.
- Conduct post-event follow-up with clients, gathering feedback and resolving issues promptly to enhance guest satisfaction.
- Maintain M&E sales collateral, marketing materials, SOPs, and quality standards across the department.
- Support team administration, including training coordination, holiday and absence tracking, and maintaining filing systems.
- Fulfil client brochure requests and manage office communications efficiently.
- Develop and maintain strong product knowledge of all three hotels and their competitive market.
- Assist with departmental projects and initiatives as directed by the Director of Sales.
