We are seeking a dedicated and organised Patient Care Administrator to join our healthcare team. The successful candidate will play a vital role in ensuring smooth administrative operations within the practice, providing excellent support to both patients and medical staff. Main duties of the job:

  • Maintaining accurate and up-to-date patient records in compliance with data protection regulations
  • Handling incoming calls and correspondence with professionalism and empathy
  • Assisting patients with administrative queries and providing guidance on surgery procedures
  • Coordinating with medical staff to ensure seamless communication and workflow
  • Processing patient documents with regards to admissions and discharges accurately
  • Organising documentation for audits and regulatory compliance
  • Supporting the surgery's administrative functions, including data entry and simple IT issues

Job responsibilities:

  • Answer telephone calls, manage enquiries, and direct or record messages appropriately.
  • Support the efficient running of clinics and administrative services.
  • Assist with rota coordination and provide cover as required.
  • Carry out daily administrative tasks and respond to additional duties as needed.
  • Manage medical records and workflow processes, including: Pathology Tasks and correspondence, Out-of-hours (OOH) reports, Summary Care Records (SCR), Clinical coding.
  • Communicate effectively with staff, patients, and external organisations (e.g., hospitals, pharmacies).
  • Handle challenging situations with patients professionally and sensitively.
  • Participate in meetings, training, and team development activities.
  • Support non-clinical administrative needs of GPs and wider staff.
  • Ensure timely handling of emails, documents, and internal communications.
  • Troubleshoot hardware and software issues (PCs, printers, etc.) and liaise with external IT providers when required.
