The Role
Serve as the initial point person/liaison in S2P for all 3rd Party Vendor Contract requests from Marketing:
- Creates and maintains contracting log of all upcoming, pending, and renewals and terminations for all Marketing\’s contracts.
- Conducts weekly meetings/calls with individual marketing contract owners, updates them on their contract status, gets inputs and details of their future contracts and updates/briefs Contract Manager.
- Assists Marketing Chief of Staff with leading weekly Vendor Governance/Contracting Meeting.
- Assists in creating weekly contracts pending signature reports and follows up with internal clients.
Enters all Marketing Contracts into the Contract Management System (CMS); Contract Logix is the system (experience with CMS is favorable):
- Ensures all minimal contract details are received and input on contracts prior to entering them into the Contract Management System.
- Ensures users adhere to policies and procedures for application and creation of contracts.
- Advises Marketing of any contracting issues that will hit the Issues Log.
- Manages end of life/renewals and upcoming contract amendments.
Conducts training on contracting principles, system usage, creating and reading/editing of contracts in the CMS:
- Responsible for assisting in the drafting and editing agreements to achieve the most favorable outcomes for the organization.
Enters Purchase Orders into the Procurement system (NetSuite; experience favorable) after the contract has been approved in the contract system:
- Tracks Purchase order through approvals, facilitates final approvals as necessary.
- Tracks Purchase Order/Receipt of goods and/or services and records receipt in the PO system in a timely manner.
Receives Invoice, compares payment details to PO and Contract, validates accuracy and coding and forwards to Accounts Payable for processing:
- Participates in process improvement, to facilitate the move of invoice handling to Accounts Payable.
