Document Governance & Information Management Lead
We are seeking an experienced and highly organised professional to undertake a business‑wide review and standardisation of documents, policies, procedures, guidance materials, templates and information resources.
The successful candidate will create and implement a robust document governance framework that ensures consistency, quality, compliance and ease of access across the organisation.
Standards will cover document structure, branding, tone of voice, formatting, version control, approval workflows and lifecycle management, and the role will evaluate and implement AI‑enabled solutions to support document review, quality assurance and ongoing business‑as‑usual activities.
Key Responsibilities & Priorities
- Document Review and Standardisation
- Conduct a comprehensive review of existing organisational documents, policies, procedures and information resources.
- Identify and rectify inconsistencies in formatting, branding, tone of voice, terminology and document quality.
- Develop and implement standardised document templates and style guides.
- Ensure alignment with organisational culture, values, brand guidelines and communication standards.
- Establish clear document naming conventions and document classification structures.
- Document Governance
- Design and implement a formal document governance framework.
- Create document lifecycle processes covering creation, review, approval, publication, revision and archiving.
- Implement version control standards and document referencing protocols.
- Ensure all controlled documents include appropriate metadata, ownership details, review dates and document references.
- Establish processes to ensure obsolete documents are removed or archived when updated versions are published.
- Maintain a master document register and audit trail.
- Information Management
- Review and optimise information architecture within the organisation’s information platform.
- Improve document accessibility, searchability and user experience.
- Develop governance processes that support long‑term sustainability and compliance.
- Monitor adherence to document management standards across departments.
- AI and Technology Enablement
- Evaluate and implement AI‑supported solutions to improve document review, quality assurance and consistency.

- Stakeholder Engagement
- Work collaboratively with leaders and subject‑matter experts across the organisation.
- Provide coaching and guidance on document standards and governance requirements.
- Deliver training and support for new document management processes.
- Act as a trusted and approachable point of contact for document governance queries.
Essential Skills and Experience
- Proven experience in document control, document governance, information management or quality management within a medium or large organisation.
- Experience developing and implementing document control frameworks and governance processes.
- Strong understanding of version control, document lifecycle management and quality assurance principles.
- Experience managing policies, procedures and controlled documentation.
- Confident using enterprise information management platforms, document management systems and AI‑enabled content governance tools.
- Excellent written English with exceptional proofreading and editing skills.
- Strong organisational and project management skills.
- Ability to work autonomously and manage competing priorities.
- Strong interpersonal and stakeholder engagement skills.
- High levels of emotional intelligence and professionalism.
Desirable Skills and Experience
- Experience implementing AI‑enabled document management or content governance solutions.
- Experience with administration and information architecture.
- Experience working within controlled document environments, including document lifecycle management, version control, approval workflows and audit requirements.
- Experience supporting organisational change and process improvement initiatives.
- Relevant qualification in Information Management, Knowledge Management, Business Administration, Quality Management or a related discipline.
