We are looking for a confident and hardworking individual to join our team at the Stratum Dermatology Clinics in Wimbledon. Our ideal candidate will be an enthusiastic and self-motivated team player, with outstanding communication and customer service skills. As part of a team, you will run a busy reception from Monday to Saturday (Rota) at Stratum Dermatology Clinic where we offer both Dermatological and Aesthetic services. You will be the first point of contact for the health management of patients and customers, ensuring a high-quality service is delivered.
Role responsibilities
- Meeting and greeting all customers/patients visiting Stratum Dermatology Clinic Wimbledon and Raynes Park.
- Support the clinical team by preparing clinics, managing clinician diaries, handling clinical notes, and liaising with couriers.
- Carrying out opening clinic checks, such as clinic stock checks, preparing rooms for the day, fridge temperature checks etc.
- Carrying out closing clinic checks, such as collecting samples ready for laboratory courier collection, closing up of the clinic and running payment reports.
- Managing multiple diaries to ensure the smooth running of all appointments.
- Managing clinic email and queries.
- Managing clinic stock auditing and control.
- Managing processes for ordering all reception supplies.
- Managing incoming post and ensuring all are scanned and uploaded for clinicians/relevant staff to review.
- Ensuring health and safety processes are followed, including all visitors signing in, all fire safety processes are followed, and first aid kits are kept fully stocked and within expiry dates.
- Be the first point of contact for any facilities issues (e.g. toilets, electrical problems, environmental management, etc).
- Supporting Practice Manager on CQC compliance and ad-hoc admin work.
Skills and qualifications
- Relevant experience working as a receptionist, ideally within a private clinic or hospital, is essential.
- Customer Service experience and being passionate about excellent service standards.
- A self-starter who can work independently and fit in quickly as part of a team.
- An organised individual who can review current processes and take ownership of responsibilities.
- Ability to problem solve effectively.
- Excellent verbal and written communication skills.
- Strong planning and organisation skills.
- Ability to multi-task and prioritise workload under a pressured environment.
- Experience in using Microsoft Packages.
