Job Description

Responsibilities

  • Full P.A. support to the Managing Director
  • Prepare paperwork, meeting minutes, and other documents as required
  • First point of contact for correspondence and telephone calls, ensuring urgent messages are actioned immediately
  • Secretarial support including diary management and meeting organisation
  • Liaise with the Management Team and other secretaries as needed
  • Manage both personal and work appointments for the Managing Director
  • Type meeting minutes and present in a professional format
  • Document dictation and send emails on behalf of the Managing Director
  • Proofread correspondence to ensure high detail and accuracy
  • Prepare monthly reports, collating information from various departments (e.g., board reports, payroll)
  • Support Human Resources administration, including recruitment, new starters & leavers, and attendance records
  • Maintain efficient filing and archive systems for the Managing Director and employee records
  • Uphold confidentiality and discretion as a key part of the role
  • Organise meetings and staff training as required
  • Liaise with reception staff and oversee reception operations
  • Ensure general office facilities are maintained, including ordering new equipment and handling safety assessments (Fire Risk Assessments, PAT testing)
  • Run errands and perform ad-hoc tasks as needed

Experience

  • Experience in a secretarial/PA role supporting senior director level roles
  • Comfortable working within a fast-paced environment
  • Ability to prioritise workload according to MD/Divisional demands

Qualifications And Training

  • GCSE Maths and English – Grade 4/C or above (or equivalent)
